POSITION SUMMARY:

The senior director, Department of Medicine (DOM) is accountable for: the overall administration and operating results of the department of medicine, the success of the related clinical, financial, and operational components, and the financial and operating performance of the DOM ambulatory clinics at Boston Medical Center.

This individual will partner with the Chair and the Vice Chair of Clinical Affairs to achieve the Faculty Practice Plan and the hospital goals and objectives. The incumbent is responsible for: departmental strategic and operational planning; financial performance; project management of key departmental and hospital initiatives; and leading administrative staff in the department.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Leadership


  • Creates a culture of performance and accountability in an organization. Translates over-arching goals into specific objectives and holds people accountable for results. Stays focused on the most important metrics that drive the business.

  • Builds and maintain key relationships with stakeholders across the organization. Ability to manage through others to ensure adherence to the highest quality standards, with the ability to collaborate and drive for results.

  • Demonstrates a track record of building and leading high-performance and highly collaborative teams. Actively involved in sourcing, selecting, developing, and retaining high-performance talent.

  • Participates meaningfully in hospital wide initiatives that drive performance against key goals (eg, patient access, patient satisfaction, EMR implementation)


Financial


  • Manages all department finances (budget, forecasts, analysis, and interpretation). Oversees the preparation of the all departmental and hospital revenue and expense budgets. Ensures appropriate internal controls are established and processes followed appropriately.

  • Manages all hospital revenue activities. Reviews and recommends changes in the charge structure in order to maximize both professional and hospital revenue in cooperation with the finance department. Ensures that adequate controls are in place for coding and timely charge capture.

  • Manages hospital cost centers for ambulatory clinics.

  • Monitors post-award grant processes and assists with meeting reporting requirements.

  • Drives financial performance by analyzing financial, operational, and productivity data and effecting changes in operational performance.


Strategic/Operational


  • Participates with senior faculty and / or staff in planning, developing and implementing new program initiatives for the division's activities. Partner with the physician leads in the ongoing operations of the section's inpatient and outpatient clinical services and programs. Assists in the development of new programs, expansion and enhancement of current services and programs, including detailed financial analysis, space and resource planning.

  • Drives initiatives critical to the success of the department and the hospital by setting goals, building cross-functional teams, and problem-solving to meet tight deadlines.

  • Manages department's ambulatory operations, and successfully meets targets for volume, expenses, patient access, and satisfaction.

  • Manages the use of the department's facilities and the reassignment of space, as designated by the hospital and Chief.

  • Works collaboratively with a variety of hospital managers, nurse management personnel, physician groups, medical staff, professional staff and multi-disciplinary groups to accomplish hospital goals and objectives. Develops and maintains good communication and relationships within service departments.

  • Consults regularly with Medical Directors and Chiefs of Services regarding service issues, problems and operations. Maintains an effective working relationship with Medical Staff to enhance ambulatory service and quality.

  • Assures compliance with BMC, Joint Commission, OSHA, DPH and state and federal regulations.


Human Resources

  • Works closely with the Chair, Division Chiefs and Section Heads to provide support relating to faculty, including recruitment, retention, credentialing, annual evaluations, salary program, and effort reporting. Review and approve staffing plans and transactions, such as definitions of duties, reporting relationships, selection and assignment of staff, performance evaluations, salary increases, and reclassifications. Resolve complaints and grievances. Supervise administrative and support staff.

  • Utilizes hospital's behavioral standards as the basis for decision making and to support the hospital's mission and goals.

OTHER DUTIES:

Performs other duties as needed.

JOB REQUIREMENTS

EDUCATION:

A Master's Degree in Health Care Administration, or Business Administration, or equivalent combination of education and experience is necessary.

EXPERIENCE:

Requires at least 7-10 years of increasingly responsible healthcare leadership experience, with a proven track record in ambulatory clinical operations, clinical program development and related business planning and performance management. Experience in a successful leadership role managing a team.

KNOWLEDGE AND SKILLS:


  • Substantial years of demonstrated successful leadership, ability to integrate services, administer and manage change, and provide responsive support services.

  • Extensive experience managing staff and services.

  • Excellent knowledge of accounting budgeting, principles and applications.

  • Knowledge of clinic operations and related processes.

  • Prior experience with submitting grant applications and interpreting sponsor guidelines, as well as post-award grant management is desired.

  • Experience managing data and converting it into actionable information.

  • Knowledge of issues related to human resources, financial, information technology, and facilities management in a large and diverse organization.

  • Outstanding verbal and written communication skills, advanced organizational skills, and a strong record of working effectively with staff in a multicultural and diverse environment.
