Job Summary

Under minimal supervision from the Operations and Fiscal Manager, the Grants Manager is responsible for pre- and post-award research administration duties for the Seismo Lab faculty and their research groups. The successful candidate will perform complex administrative functions, which include various grants, contracts, internal, and external funding.

Essential Job Duties



  • Oversee submission of federal and non-federal sponsored research proposals: Review guidelines, budgets, and justifications and monitor completion of nonscientific forms. Assist with institutional review and route for approvals.
  • Oversee management of sponsored research awards: Approve account set-up requests, track cost-sharing, submit budget realignments and no-cost extensions, and oversee quarterly report submissions.
  • Review monthly Funds Management and Personnel reports, create and update financial projections to monitor spending and ensure costs adhere to sponsor's terms and conditions, federal regulations, and Institute policies. Oversee monthly transactional review of costs with emphasis on allowability and use of correct expenditure type. Provide recommendations for corrective action to faculty. Continuously adjust spending, including labor schedule updates and adjustments, based on the weekly needs of the faculty.
  • Approve cost transfers as necessary and review Payroll Distribution Confirmation Reports. Handle 90-day closeout notification of awards. Review balance of encumbrances and closely monitor final costs. Coordinate timely submission of required technical and financial reports.
  • Serve as backup to the Operations and Fiscal Manager and assist with financial and non-financial projects and reports as requested.
  • Other duties as assigned.


Basic Qualifications



  • Bachelor's degree or equivalent with at least 5 years of relevant work experience and intermediate business math and accounting skills.
  • Good judgment and discretion with the ability to maintain strict confidentiality.
  • Detail and process-oriented with excellent organizational and communication skills.
  • Able to prioritize work effectively, with shifting priorities, and meet deadlines.
  • Flexible and able to work well under pressure and maintain a positive attitude.
  • Self-driven with strong critical thinking and problem-solving skills.
  • Technologically savvy with computer programs and systems, particularly MS Office and Adobe Acrobat software.


Preferred Qualifications



  • Experience with pre- and post-award research administration duties.
  • Experience with Caltech systems and software applications.

Hiring Range

$72,000 to $88,100 per year

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
