Job Description
General Purpose of Job: The Volunteer Coordinator plays a vital role in supporting the Volunteer Services program through the coordination of volunteer recruitment, onboarding, placement, compliance, communication, and ongoing operational support. This position serves as the primary contact for prospective and active volunteers, ensuring an efficient and welcoming experience throughout the volunteer lifecycle.
The Coordinator collaborates with volunteers, department leaders, community partners, and Volunteer Services team members to support volunteer placement, maintain compliance with organizational requirements, and provide exceptional customer service. Through effective coordination of daily operations, the Volunteer Coordinator helps ensure volunteers are prepared, supported, and positioned to make meaningful contributions throughout the health system. Volunteer Recruitment & Onboarding
- Oversee the volunteer application intake and onboarding process for all volunteer populations, including adults, teens, college students, specialty volunteers, and event-based volunteers.
- Review and process volunteer applications, verify references, conduct background checks, schedule and conduct interviews as assigned, and communicate application status and next steps.
- Coordinate onboarding requirements, including health screenings, vaccinations, safety testing, background clearances, badge issuance, and uniform distribution.
- Ensure volunteers meet all organizational requirements and are approved for service prior to placement.
- Coordinate onboarding schedules and communicate key volunteer start and end dates with internal stakeholders.
- Provide primary guidance and support to volunteers during onboarding and orientation activities.
Volunteer Placement & Operational Support
- Coordinate volunteer placement activities and connect volunteers with department trainers, supervisors, and program contacts.
- Serve as the primary point of contact for volunteer inquiries related to applications, onboarding, scheduling, placements, compliance, and program participation.
- Support teen, college, adult, and specialty volunteers by providing information, resources, and assistance throughout their service experience.
- Assist departments with volunteer-related operational needs and facilitate communication between volunteers and department staff.
- Resolve routine volunteer concerns and elevate complex or sensitive issues to department leadership when appropriate.
Volunteer Communications & Engagement
- Develop, coordinate, and distribute volunteer communications, including announcements, newsletters, email updates, informational materials, and operational notices.
- Maintain positive and professional communication with volunteers, departments, and community partners.
- Support volunteer engagement, retention, and recognition efforts through regular communication and administrative coordination.
- Assist with volunteer meetings, educational opportunities, appreciation activities, milestone recognition, and department-sponsored events.
Program Administration
- Maintain accurate volunteer records, compliance documentation, placements, service hours, and other program information within volunteer management systems.
- Generate reports related to volunteer participation, compliance, placements, retention, and service activity as requested.
- Coordinate administration of volunteer management software, online applications, scheduling systems, digital forms, and volunteer-related resources.
- Collaborate with information technology, marketing, communications, and other departments to support volunteer-related systems and resources.
- Support administration of volunteer partnerships, including the AARP Senior Community Service Employment Program (SCSEP), by coordinating participant onboarding, placements, tracking requirements, and communication with stakeholders.
Customer Service & Department Support
- Provide operational support to internal and external customers in collaboration with department leadership.
- Recognize the sensitive nature of volunteer information and maintain confidentiality while ensuring compliance with organizational standards.
- Serve as a positive representative of Volunteer Services and UM Health in all interactions.
- Support special projects, operational initiatives, and departmental activities as assigned.

| Education |
* Bachelor's degree in business, communications, or related field and a minimum of 1 year of related experience; OR Associate's degree and a minimum of 3 years of related experience; OR a High School Diploma/GED and a minimum of 5 years of related experience. * Bachelor's degree preferred |
