GAI seeks a skilled, highly motivated, results-driven Marketing Assistant to join our dynamic Transportation & Infrastructure (T&I) Business Unit. Working out of our Charleston WV office, this challenging and rewarding position will include assisting the T&I Marketing and Project Controls operations teams. This position includes, but is not limited to:



  • Provides assistance with marketing activities to support pursuit, client, and business plan objectives and contributes to the implementation of these activities including but not limited to conferences, events, sponsorships, design award submittals, speaker proposal/presentations, etc.
  • Assist in maintaining and populate detailed data in GAI's Deltek Vantagepoint database.
  • Assist with marketing initiatives (Open Asset Migration, resume updated, project profile updating, etc.)
  • Assist in proposal production activities.
  • Provide administrative support including internal and external meeting coordination, document control for incoming and outgoing documents, assisting project managers with project status updates/reports/invoices, assist with project guides, project reviews, and assisting with deliverable development and coordination.
  • Technical editing of deliverables. This generally consists of proofreading deliverables and working with technical staff to edit documents for format, clarity, consistency, grammar, spelling, and punctuation.
  • Support team members on the completion of documents, including supporting the formatting, editing and organization of project documents, contracts, reports, and correspondence.
  • Prepare, organize, and coordinate contracts and sub-contracts; coordinate and monitor sub-contractor information such as quality management plans and deliverables.
  • Assist with the coordination of internal and external meetings and presentations.
  • Coordinate other special projects such as conferences, open houses, and client events.


Qualifications / Education



  • 2+ years of related experience as a marketing assistant/coordinator, prior AEC industry experience preferred.
  • Associate's or Bachelor's degree in business, marketing, or a related discipline preferred.


Competency



  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to use Adobe Creative Suite and related design tools.
  • Deltek Vantagepoint (or similar database programs) experience is a plus.
  • Competent proofreading and editing skills.
  • Excellent communication and organizational skills
  • Able to document and process information quickly and accurately, with strong attention to detail.
  • Flexible and able to balance priorities and manage multiple tasks simultaneously within tight schedules.
  • Able to work both independently and as part of a team.


General Characteristics



  • Shows progress in acquiring basic skills; follows procedures.
  • Contributes to the development and implementation of various internal and external marketing and Business development support activities for a market(s) or specialized area(s) under the direction and supervision of senior staff.

      • Performs data entry and other assigned tasks.
      • Receives technical training from team.

      • Responsible for personal task management and adherence to deadlines and scope


      Management Responsibility



      • Close supervision on all work assignments.
      • No managerial responsibilities at this level.

      • Possesses basic oral and written communication skills. Identifies and acknowledges principles of teamwork and leadership.
      • Interacts primarily with internal project team members
