The Project Coordinator will be responsible for managing all aspects of assigned projects to include engaging in internal pre-kick-off meetings continuing through hand-off and delivery of final assets and post-launch evaluation. The Project Coordinator is the central point of communication for the internal team, interfaces with the client, account leadership, Operations, project team members and contractors in order to meet the pre-specified parameters of time, quality and budget for final deliverables. The Project Coordinator supports the project team, ensuring they are well-coordinated, connected and engaged.
Essential Duties And Responsibilities
Actively support the project team's efforts by developing the project plan and scope management in conjunction with the ISD, allocating and managing resources, documenting and managing risks, planning project transitions and offering ongoing maintenance and support
Develop and manage a set scope of work and detailed project plan through: setting effective expectations, communications, project change control, budget monitoring, and overall business understanding of the project needs
Communicates alignment between projects and Operations, Account Managers and client-level initiatives
Maintain routine communications with the stakeholders, Operations and internal project team regarding project schedule, budget, scope and risk
Lend ad-hoc support to various project teams, as necessary, during project implementation
Lead lessons learned/project implementation reviews after project completion
Effectively manage multiple priorities
Ensure project milestones are met and deliverables are on time, on/under budget and meet/exceed client expectations
Prepare the project team for internal and external team meetings, to include: schedule the meeting and appropriate resources, create the meeting agenda, take notes and action items during the meeting and disseminate notes to all stakeholders, as appropriate
Interface with subcontractors and consultants to ensure project alignment and that adequate staffing is available to meet customer needs
Conduct internal project review meetings and serve as project information source
Report feedback, concerns, comments and questions from the client to the project team
Perform final GP review of deliverables and monitor project deliverables to ensure quality levels are attained
Manage print and delivery schedule for asset production; route other materials as needed and source other items, as required, to support the learning experience
Maintain integrity of final asset repository (share drive)
Make process improvement recommendations to leadership as required
Along with the project team, help manage intake requests to ensure adequate requirements and details are gathered for input into staffing decisions
Help identify, coordinate and direct the staff assigned to the project; provide insight into staffing transitions and potential fit for next assignments
Support project escalations and risk mitigation planning
Maintain visibility to projects on forecast
