Summary of Position

The Event Specialist supports the planning and execution of meetings, conferences, and events by providing event management, registration, venue sourcing, attendee management, and technology solutions to clients. This role serves as a trusted partner throughout the event lifecycle, guiding clients through planning milestones, managing event-related technologies, supporting budgeting activities, and delivering exceptional customer service. The Event Specialist collaborates closely with clients, suppliers, and internal stakeholders to ensure successful event outcomes while identifying opportunities to improve processes, efficiencies, and overall client experience.



Responsibilities and Duties

    Lead clients through event planning phases using milestone-based planning practices and clearly communicate timelines, deliverables, and expectations.
  • Support the planning and delivery of meetings, conferences, and events, ensuring a high level of client service and operational excellence.
  • Utilize event management tools, templates, and documentation to support planning, execution, and reporting activities.
  • Develop and maintain registration sites, attendee communications, reporting, and other event technology solutions as needed.
  • Conduct technology demonstrations and training sessions to support client understanding and adoption of event management platforms.
  • Support venue sourcing activities and maintain proficiency across various registration and event technology platforms.
  • Assist with attendee management, housing coordination, transportation logistics, audiovisual coordination, food and beverage planning, and virtual meeting support.
  • Maintain and track event budgets, identifying potential risks, opportunities, and cost-saving recommendations.
  • Present approved pricing for additional services and support revenue-generating opportunities.
  • Generate reports and analyze event-related data to support client objectives and business decisions.
  • Follow established sales-to-operations handoff processes to ensure seamless onboarding and delivery of new events.
  • Provide regular status updates to clients regarding milestones, registration activity, budget tracking, and event progress.
  • Build and maintain strong working relationships with clients, suppliers, venues, and internal stakeholders.
  • Stay informed on emerging event technology solutions, industry trends, and best practices.
  • Identify opportunities to improve processes, efficiencies, and client outcomes, and share recommendations with leadership.
  • Ensure event records, tracking tools, and reporting systems remain current and accurate.
  • Provide on-site event support and travel as required.

Education and Experience

  • Bachelor's degree in Event Management, Hospitality Management, Business Administration, Communications, or a related field preferred. Equivalent experience may be substituted.
  • Two to five years of experience in event planning, meeting management, hospitality, conference services, or a related field.
  • Experience supporting registration platforms, attendee management systems, or event technology solutions preferred.
  • Experience managing multiple projects and deadlines in a client-facing environment.
  • Knowledge of corporate meetings, conferences, and event operations preferred.

  • Knowledge of meeting and event planning principles, processes, and industry best practices.
  • Understanding of attendee management, venue sourcing, registration technology, virtual meeting solutions, housing management, and event logistics.
  • Ability to learn and adapt to various event technology and registration platforms.
  • Strong organizational and project management skills with the ability to manage multiple events simultaneously.
  • Excellent communication, presentation, and client relationship management skills.
  • Ability to analyze event data and prepare accurate reports and recommendations.
  • Knowledge of budget management principles and the ability to identify risks and opportunities.
  • Strong problem-solving, critical thinking, and decision-making abilities.
  • Proven ability to collaborate effectively across departments and with external stakeholders.
  • Customer-focused mindset with a commitment to delivering exceptional service.

Compensation for this position is determined based on a variety of factors, including the responsibilities and requirements of the role, relevant skills, experience and qualifications, internal equity, market data and business needs.

For positions that are funded through a specific client engagement or other designated funding source, compensation may be reviewed if the employee subsequently transfers to a different role within the company.



Pay Range

USD $55,000.00 - USD $65,000.00 /Yr.
