About the Opportunity

Reporting to the Director, Talent Acquisition and Recruitment, the Talent Operations Specialist provides operational support including but not limited to reporting, auditing, program monitoring, and vendor relations.

What You'll Do

  • Generate, distributes, maintains records, initiate actions and monitor follow up, as required for standard and custom reports on weekly, monthly, and annual reporting to ensure compliance related to internal processes and procedures, and federal, state, and local mandates.
  • Assist with coordination of the University system-wide background check program for staff, faculty, volunteers, and students. Ensure compliance with multiple regulations impacting background checks
    • Review all background checks flagged for discrepancies or issues.
    • Designs and provides training for internal university clients performing background checks to ensure compliance with relevant regulations.
    • Coordinates and serves as a member of the Background Check Committee which reviews potentially derogatory background check results and uses discretion to decide upon employment actions based upon those results.
    • Serves as the point of contact for employees, volunteers, and students through the pre-adverse and adverse background check process.
    • Serves as primary contact for background check vendor and coordinates updates and enhancements to university background check offerings.
    • In conjunction with Employee Relations, maintains the ER database.
    • Processes payment of background check vendor invoices
  • Provides support and ensures compliance through weekly, monthly, and annual audits. Audits may include but are not limited to:
    • Background checks, hiring process, and disposition completion.
  • Organize and maintain Standard Operating Procedures for Talent Acquisition and Recruitment, reviewing for accuracy on scheduled basis.
  • Monitor and update the Talent Acquisition and Recruitment webpage as requested.
  • Review and update internal knowledge-based articles to ensure accuracy.
  • Process invoices and P-card reconciliation.
  • Monitor, respond, or assign Sales Force cases assigned to Talent Acquisition to ensure timely action is taken.
  • Monitor and respond to messages in multiple Vanity Accounts including Employment, Background Check, T&C, and Dual Careers.
  • Facilitate, monitor, renew Parent / Child requisitions.
  • Distribute weekly communication to hiring managers and new hires ahead of start date regarding WVU resources and new employee orientation.
  • Assist with policy updates as directed.
  • At the request of leadership work with current and/or future vendors to update or initiate vendor contracts. Participate as requested in the RFP process.
  • Dual Career Program Support
    • Provides organization and coordination of the Dual Career Program in collaboration and as directed by TA leadership.
    • Monitors vanity account, answers general questions.
    • Completes intake meetings with new clients, and provide monthly follow up to clients in the program.
    • Collaborate and inform recruitment team of client interest to determine opportunities for employment at WVU.
    • Establish relationships with external employers, organizations, and HR professionals to assist clients with employment opportunities.
  • Talent Acquisition Support
    • Facilitate opportunities to recruit soon to graduate / or recent graduate students for employment through multiple outreach efforts including but not limited to, collaboration with WVU Career Services, establish and maintain Handshake account, coordinate activities for sharing job opportunities with colleges.
    • Career fair registration, payment, and tracking.
    • External Job posting process. Collaborate with recruiters and leaders and develop external job ads using creative writing skills to positively promote opportunities at WVU. Determine best options to remain within budget for advertising. Monitor posting for renewal, responsible for payment and processing of job postings.
    • Administrator for Workforce WV Virtual monthly career fairs, including updating the platform with current hiring needs.
    • In collaboration with recruiters, maintain documentation of all recruitment outreach that is occurring.
  • Provide General Administrative Support
    • Order office supplies.
    • Record, track, order IT equipment.
    • Contact and vendor administrator for contract services such as: LinkedIn, The Chronicle of Higher Education, Hire Ed Jobs, GMS, Circa.
    • Scheduling meetings, which may include candidate interviews as requested by Director.
  • Perform other related duties as assigned.
Qualifications
  • Bachelor's Degree
  • A minimum of two (2) years of experience in the following:
    • Relevant experience in reporting, auditing, program monitoring, and vendor relations.
    • Human Resources administrative duties or equivalent experience.
    • Experience utilizing an applicant tracking system.

  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

Knowledge, Skills, and Abilities

  • Knowledge of federal, state, and local laws governing employment policies and practices.
  • Excellent organizational skills.
  • Proficient with Microsoft Office Suite, Access, and knowledge of or the ability to quickly learn internal HRIS and talent management systems.
  • Demonstrated ability to communicate effectively verbally and in writing.
  • Ability to work in a team environment.
  • Ability to work with minimal supervision.
  • Ability to meet deadlines.
  • Demonstrated knowledge of current technology
  • Excellent interpersonal skills
  • Demonstrated ability to maintain confidentiality.

Preferred Qualifications

  • Human Resources experience.
