Operations Assistant

We are seeking a detail-oriented and dependable Operations Assistant to support daily branch operations for a busy warehouse and distribution environment. This role is ideal for someone who enjoys keeping processes organized, working with shipping and receiving documentation, supporting inventory accuracy, and helping teams stay on track.

The Operations Assistant will work closely with branch leadership, warehouse personnel, customers, drivers, and third-party freight partners to ensure inbound and outbound material is processed accurately and efficiently.


Schedule

  • Monday-Thursday: 12:00 p.m. - 8:30 p.m.
  • Friday: 10:00 a.m. - 6:30 p.m.


Key Responsibilities

  • Process inbound material documentation, including transfers, mill purchase orders, warehouse receiving reports, and system receipts.
  • Verify sales orders are completed by applicable due dates and ensure related documentation is accurate.
  • Prepare manifests, packing lists, bills of lading, and other outbound shipping documents.
  • Coordinate motor freight shipments with third-party carriers and schedule appointments for inbound shipments.
  • Coordinate outbound shipments, assist with truck route and load planning, and support interbranch shipments.
  • Maintain electronic sales orders, receiving reports, transfers, Material Test Reports, databases, logs, spreadsheets, and electronic files.
  • Scan, post, and retrieve documentation, including Proofs of Delivery and receiving paperwork.
  • Assist with physical inventory, inventory verifications, stock checks, location changes, and discrepancy resolution.
  • Support DOCK item maintenance, billing review, returned or damaged material processing, and inventory adjustments as needed.
  • Ensure change orders and order cancellations are completed and updated in internal systems.
  • Recover applicable costs for shipping supplies, freight charges, and related items on sales orders.
  • Provide administrative backup support, including phone coverage, and assist customers and drivers as needed.
  • Perform other duties as assigned.


Qualifications

  • High school diploma or equivalent required.
  • Strong data entry skills with a high level of accuracy.
  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Strong math skills and ability to work comfortably with order, inventory, and shipping information.
  • Excellent attention to detail and organizational skills.
  • Strong problem-solving ability and the capacity to manage multiple priorities in a fast-paced environment.
  • Ability to communicate professionally with internal teams, customers, drivers, and freight partners.
