Position Summary:
MannKind Corporation is seeking a highly organized and detail-oriented Congress/Event Manager to provide administrative, logistical, and project coordination support for the planning and execution of company congresses, industry events, advisory boards, Key Opinion Leader (KOL) engagements, and internal meetings and events.
This role coordinates and supports the day-to-day operational requirements of assigned programs, including maintaining project timelines and trackers, supporting registrations and housing block accommodations, organizing event materials, coordinating vendor and venue communications, tracking deadlines and deliverables, maintaining event documentation, assisting with budget and invoice administration, and providing on-site logistical support as needed.
Principal Responsibilities:
- Event Planning and Execution Support:
Coordinate the administrative and logistical activities for National Commercial Congresses, industry events, commercial advisory boards, and internal events and meetings. Responsibilities may include venue research, registration, housing, attendee coordination, meeting space, transportation, event materials, shipping, vendor communications, documentation, and on-site logistics. Maintain project timelines, trackers, deadlines, and action items, and escalate issues or decisions requiring cross-functional input or resolution.
- Stakeholder Coordination:
Provide administrative and project coordination support across Medical Affairs, Marketing, Sales, Compliance, and other participating functions. Schedule meetings, maintain action and decision trackers, circulate logistical information, follow up on assigned deliverables, and help ensure stakeholders have the information needed to complete their responsibilities.
- Compliance Process Support:
Assist with the administrative coordination of required compliance processes and documentation for congresses and events. Track required reviews and approvals, maintain supporting documentation and records, coordinate established workflows, and escalate questions or potential compliance concerns to the appropriate Compliance, Legal, Medical, or other functional owners.
- Budget and Financial Administration:
Provide administrative support for event budgets by maintaining budget trackers, recording committed and actual expenses, coordinating estimates and invoices, tracking purchase orders and payment status, supporting accrual and reconciliation activities, and identifying potential discrepancies for review.
Support the coordination of approved vendors, agencies, venues, hotels, congress organizers, and other service providers. Assist with gathering proposals and estimates, scheduling vendor meetings, maintaining vendor documentation, tracking deadlines and deliverables, coordinating logistical requirements,
- Post-Event Administration:
Support post-event closeout activities by coordinating feedback collection, maintaining attendance and event records, assisting with financial reconciliation, tracking outstanding invoices or documentation, organizing event materials and files, scheduling debriefs.
Education and Experience Qualifications:
- Bachelor's degree in Event Management, Hospitality, Business Administration, Communications, Marketing, or a related field, or equivalent combination of education and relevant professional experience.
- 7+ years of experience in event, meeting, congress, project, or administrative coordination, preferably within the pharmaceutical, biotechnology, healthcare, medical device, or other regulated industry.
- Strong understanding of compliance regulations related to pharmaceutical events and healthcare professional interactions.
- Excellent project management skills with the ability to manage multiple events simultaneously.
- Exceptional communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external stakeholders.
- High level of proficiency with Microsoft Outlook, Excel, PowerPoint, Word, and Teams, with the ability to quickly learn event-management, registration, project-management, procurement, and related business systems.
- Willingness to travel as required for event execution. Expected travel up to 25% during peak conference season, including weekend events.
Preferred Qualifications:
- Previous experience supporting medical congresses, pharmaceutical meetings, advisory boards, speaker programs, sales meetings, or other healthcare-related events.
- Familiarity with administrative requirements associated with event registrations, tracking congress submission deadlines, accommodations, documentation, and event logistics.
- Experience using event-registration portals, attendee-management, project-tracking, CRM, procurement, or expense-management platforms.
- Experience supporting virtual and hybrid meetings.
- CMP or other meeting/event industry certification is a plus but not required.
