Administrative Assistant

Pay Range $18.79 - $21.00 per hour

Position Summary

The Administrative Assistant serves as front desk receptionist and is the primary point of contact for Community Teamwork's Resource Center, creating a welcoming and supportive environment for all clients, visitors and staff. This role is responsible for client check-in, sorting daily mail, administrative support and ensuring seamless front desk operations across multiple agency programs.

Essential Functions and Responsibilities:



  1. Warmly greet and direct clients entering the Resource Center
  2. Check in clients and communicate their arrival to the appropriate staff
  3. monitor automated voicemail systems, respond to general inquiries, route calls and messages to the appropriate person/department
  4. Sort mail and distribute to correct mailbox
  5. Receive incoming packages/shipments and notify the correct staff person for pick up
  6. Securely distribute checks to designated clients according to protocol
  7. Assist clients with basic administrative needs including copying and/or faxing documents
  8. Collect documentation for clients and place it in correct program mailbox for pick up
  9. Copy and stock informational packets/flyers for Resource Center display racks
  10. Manage the booking schedule for the first-floor conference room
  11. Track inventory for office supplies, including ink and toner and communication needs to the 1st floor Administrative Assistant
  12. Coordinate routine maintenance requests for the fax and copy machine
  13. Support first floor management with administrative task as assigned
  14. Uphold the values of CTI - Equity, Integrity, Compassion.

Qualifications



  1. High School diploma or equivalent
  2. 1-2 years of experience in front desk operations, reception or customer service preferred
  3. Understanding of low-income population needs
  4. Customer Service skills should include strong verbal and written communication with a client-focused compassionate demeanor
  5. Experience with multi-line phone systems, standard office machinery (copiers, fax machines) basic scheduling tools and Microsoft Office
  6. High attention to detail, strong time-management skills and the ability to multi-task in a busy walk-in environment
  7. Ability to handle sensitive client information with strict confidentiality and professionalism
  8. Bilingual/ Spanish required
  9. Ability to pass background check.

The base salary range represents the Agency's good-faith estimate of the compensation for this role at the time of posting. Actual compensation within the range will be based on factors such as experience, skills, and qualifications.
