| Primary Description of Work |
This position is a deputy director position, implementing and interpreting policy independently and in consultation with the University Registrar. This position has office-wide influence and responsibility for strategic planning, business process definition, and staff development. In addition, this position advises Students, Faculty, and staff regarding academic policies and procedures for the university. The position supervises all operational functions within the Registrar's Office, including project planning and data transfer to the System Office and other official entities. The position serves as the Final Graduation Auditor for Undergraduate and Graduate Programs, Banner Student Module Security Administrator. The position also functions as the Deputy Registrar in the absence of the Registrar and may be delegated overall responsibility for several functions in the Registrar's Office. |

Key Responsibility-Leadership:
The Associate Registrar provides management of operations/records, technology, and transfer articulations areas within the Office of the University Registrar. Advises the University Registrar on strategy and office management. Represents the office to other University and non-University groups in the absence of, or at the request of, the University Registrar. Manages and oversees the production of student data reporting, including maintenance, enhancements, and updates. Examines, develops, designs, implements, and monitors the business processes of the registrar's office related to the management, storage, and protection of student records. Provides functional leadership for new software and technology initiatives and implementations, such as identifying improvement opportunities for optimizing technology to enhance student services.

Key Responsibility-Administration:
Under the direction of the Registrar, the Associate Registrar will ensure the timely processing of operations to support the Registrar's Office in a professional, efficient and compliant manner. Under limited supervision, the Associate Registrar will also serve as a primary support member to Registrar office staff members, ensuring customer-centered services in meeting the needs of students, alumni, and campus stakeholders.
Manage comprehensive registration and graduation-related processes, ensuring timeliness and accurate processing as related to scheduling and course cancellations, transcript request generation, transfer credit processes, grading follow-up processes, incomplete grade processes, graduation follow-up processes, and schedule development. Maintain accuracy, security, and confidentiality of student academic records at all times.
Work collaboratively with the VA Certifying Official, the Associate Registrar will be the secondary VA Certifying Offical for the University. This role will help manage and complete any VA Audits and help out when needed with anything related to the VA.
Participates in development, implementation, and maintenance of policies, objectives, short-and long-range planning; develops and implements projects and programs to assist in the accomplishment of established goals. Interprets and enforces academic rules and regulations; monitors academic standing; coordinates probation, as appropriate.

Key Responsibility- Business Process Improvement: The Associate Registrar will provide training on student systems and add-ons. Trains advisors, students, and staff on Degree Works degree audit system and reporting. Trouble-shoots and is able to answer student data-related questions across functional areas. Assists Registrar in using tact and diplomacy when communicating with students, parents, faculty, and staff. The Associate Registrar will work on enhancing the level of customer service for all clients of the office through continued evaluation and consistent knowledge transfer and training. Recognizes where current problems exist in day-to-day business processes within the registrar's office and works with Registrar on solutions.

Key Responsibility-Compliance: The Associate Registrar works with and advises the University Registrar on all university, state, and federal policies, including
FERPA, which impacts the functions and mission of the University Registrar's Office. Oversees student system reporting and maintenance: Monitors registration, grading, and beginning and end-of-term processing; clearinghouse transmission, Data file (Student DataMart) submissions to general administration. Manages and oversees the production of student data reporting. Partner with the Registrar with the collection and analysis of data for both internal and external audits. |
| Minimum Qualifications |
Bachelor of Science Degree in Business Administration or related area required. Must have 3-5 years of experience in an administrative position for a University Registrar's Office. Extensive Banner experience is required and the ability to communicate effectively with excellent customer service skills and the ability to multi-task is necessary. |

In-depth knowledge of applicable business information systems (preferably Banner), testing methodologies, training, business system alysis, and/or other applicable systems. Ability to recognize and fully understand the limitations of our student information system in relation to current business processes.
Ability to exercise creative and critical thinking in evaluating complex situations and developing solutions. Ability to forecast the level of future requirements in the student data area. Ability to solve problems and make recommendations on issues that affect the direction of the business systems and student system needs. Ability to develop, monitor, and communicate changes to project scope, plans, timelines, status, issues, and risks for moderately complex projects.
Ability to proactively identify situations requiring complex communications. Ability to influence the directions of projects. Ability to identify stakeholders and mage communications to achieve consensus and collaboration. |
