Primary Function of Organizational Unit

Primary Purpose of Position
The primary purpose of the Executive Assistant is to ensure the efficient, professional, and effective operation of the Office of the Vice Chancellor for Transformative Partnerships and Economic Development while providing high-level executive administrative support to the Vice Chancellor.
The position enables the Vice Chancellor to focus on the strategic responsibilities of the Division-including transformative partnerships, economic development, research and innovation, commercialization, workforce development, external engagement, and oversight of major research institutes-by effectively managing executive-office operations, communications, scheduling, information flow, meeting preparation, and administrative coordination.
The Executive Assistant serves as the central administrative liaison for the Vice Chancellor's office and facilitates communication and coordination among divisional leadership, university administration, faculty and staff, and external stakeholders. The position ensures that the Vice Chancellor is appropriately prepared for meetings, decisions, travel, presentations, and engagements and that resulting actions and commitments are documented and followed through in a timely manner.
A key purpose of the position is also to create continuity and organizational discipline within the executive office by maintaining systems that support scheduling, correspondence, records management, meeting preparation, priority tracking, and follow-up. The Executive Assistant is expected to anticipate administrative and logistical needs, resolve routine issues independently, and ensure that the Office of the Vice Chancellor consistently operates at a high professional standard.
The position represents the Office of the Vice Chancellor in many initial interactions and therefore plays an important role in shaping the experience of internal and external stakeholders engaging with the Division.
Required Knowledge, Skills, and Abilities

  • Strong knowledge of executive administration, office management, organizational coordination, and professional communications.
  • Demonstrated ability to manage complex executive calendars, meetings, events, travel, and competing priorities.
  • Excellent judgment and discretion when handling confidential personnel, financial, research, partnership, and institutional information.
  • Exceptional written and verbal communication skills, including the ability to prepare and edit correspondence, reports, agendas, presentations, and executive briefing materials.
  • Strong interpersonal and relationship-management skills with the ability to interact effectively with senior administrators, faculty, staff, students, government officials, industry leaders, and external stakeholders.
  • Ability to coordinate complex meetings, events, engagements, logistics, and follow-up activities involving multiple internal and external stakeholders.
  • Strong analytical, organizational, and problem-solving skills, with the ability to prioritize competing demands and resolve issues independently.
  • Advanced proficiency with office productivity, calendaring, virtual meeting, document-management, and other administrative technologies.
  • Ability to work effectively in a fast-paced environment, adapt to changing priorities, maintain professionalism under pressure, and manage a high volume of work with accuracy and attention to detail.

Minimum Education/Experience

  • Bachelor's degree in Business Administration, Public Administration, Communications, Higher Education Administration, or a related field and 5 years of progressively responsible experience in executive administration, office management, or a related administrative role, preferably in a higher education or complex organizational environment.
  • Demonstrated experience supporting senior-level executives and managing complex schedules, communications, meetings, and administrative operations is required.

Function

  • Provides advanced executive administrative support to the Vice Chancellor and manages the daily administrative functions of the executive office.
  • Manage the Vice Chancellor's complex and frequently changing calendar.
  • Evaluate meeting requests and coordinate priorities based on urgency, institutional importance, strategic relevance, and availability.
  • Schedule internal and external meetings involving university executives, faculty, research leaders, corporate executives, government officials, economic development organizations, foundations, and community stakeholders.
  • Anticipate scheduling conflicts and recommend appropriate solutions.
  • Coordinate travel arrangements, itineraries, accommodations, transportation, registrations, and related documentation.
  • Maintain awareness of the Vice Chancellor's upcoming meetings, travel, deadlines, institutional obligations, and external engagements.
  • Prepare daily and weekly schedules and ensure that the Vice Chancellor has necessary materials in advance.
  • Manage telephone, email, correspondence, and meeting requests requiring executive-office attention.
  • Coordinate administrative activities associated with conferences, speaking engagements, university events, Board-related activities, partner visits, and other executive commitments.



Function Operations Management

  • Ensures the Vice Chancellor is appropriately prepared for internal and external meetings, presentations, visits, and engagements.
  • Prepare and organize executive briefing packages in advance of meetings and events.
  • Gather relevant background information regarding organizations, individuals, projects, partnerships, and issues.
  • Coordinate with divisional units and other university offices to obtain necessary information and briefing materials.
  • Prepare meeting agendas, background documents, talking-point materials, meeting folders, itineraries, and other supporting documents.
  • Draft and edit executive correspondence, memoranda, letters, meeting summaries, reports, presentations, and related materials.
  • Review materials for completeness, accuracy, clarity, formatting, and appropriate executive tone.
  • Maintain templates and standards for executive-office communications.
  • Assist in preparing presentations and briefing materials for Cabinet, university leadership, governing bodies, external partners, community organizations, government representatives, and industry stakeholders.
  • Coordinate responses to requests for information received by the Office of the Vice Chancellor.
  • Ensure appropriate follow-up communications are prepared and distributed following key meetings and engagements.

  • Monitor approaching deadlines and proactively communicate with responsible individuals or units.
  • Coordinate documents requiring Vice Chancellor review, signature, approval, or action.

  • Assist in monitoring major divisional deadlines and deliverables requiring Vice Chancellor attention.

  • Coordinate routine office administrative needs, supplies, technology requests, and related functions.



Function Work Coordination

  • Serves as a key administrative liaison between the Vice Chancellor and units within the Division as well as other areas of the University.
  • Facilitate communication between the Vice Chancellor and directors and leadership associated with BRITE, BBRI, IAIER, Research and Technology Transfer, Strategic Partnerships/Operations, Business and Finance, and other divisional functions.
  • Coordinate meetings involving multiple divisional units and university offices.
  • Request and compile information needed by the Vice Chancellor from divisional leadership.
  • Facilitate timely distribution of information, directives, meeting materials, and requests from the Office of the Vice Chancellor.
  • Track assignments and action items resulting from divisional leadership meetings.
  • Assist with coordination of divisional retreats, leadership meetings, planning sessions, and other cross-unit activities.
  • Maintain awareness of significant divisional activities, deadlines, events, and engagements requiring executive involvement.
  • Coordinate with the Chancellor's Office and other Vice Chancellor/Provost offices on executive-level administrative matters.
  • Assist in coordinating responses to institutional requests involving multiple areas within the Division.
  • Ensure appropriate administrative follow-through without assuming programmatic responsibility assigned to the AVC, institute directors, or other divisional leaders.



Function Coordination of Work Flow

  • Supports the Vice Chancellor's extensive engagement with external organizations and ensures that interactions with the Office of the Vice Chancellor are professionally managed.
  • Coordinate visits, meetings, and engagements involving corporate executives, government officials, economic development leaders, foundations, research organizations, community partners, and other external stakeholders.
  • Serve as an initial administrative point of contact for external partners interacting with the Vice Chancellor's office.
  • Coordinate schedules, meeting locations, parking, campus access, hospitality, tours, technology, and related logistics for executive-level visitors.
  • Work with university offices and divisional units to develop appropriate meeting agendas and visit schedules.
  • Prepare background information and briefing materials on visiting organizations and individuals.
  • Maintain records of significant external engagements and assist with tracking commitments and follow-up activities.
  • Coordinate thank-you correspondence and other follow-up communications.
  • Assist with major partnership events, announcements, ceremonies, conferences, roundtables, and stakeholder meetings associated with the Division.
  • Represent the Office of the Vice Chancellor professionally and diplomatically in interactions with external organizations.



Function Strategic Planning

  • Provides administrative and coordination support for special assignments undertaken by the Office of the Vice Chancellor.
  • Coordinate time-limited executive-office projects and administrative initiatives as assigned.
  • Conduct background research and compile information needed for executive decision-making or meeting preparation.
  • Assist with preparation of reports, presentations, dashboards, stakeholder lists, organizational materials, and other executive-office documents.
  • Coordinate administrative aspects of searches, advisory boards, committees, working groups, and special events associated with the Vice Chancellor's office.
  • Support onboarding and orientation activities for senior divisional personnel when appropriate.
  • Serve on committees or working groups when assigned as an administrative representative of the Office of the Vice Chancellor.
  • Perform other duties consistent with the scope and level of responsibility of the position.
