| Summary |
This position is critical to support financial aid services and in ensuring that the Colleague system set up and process effectively and efficiently support
FAS in all aspects of the compliant administration of federal, state, and institutional financial aid and scholarships. The financial aid technical analyst possesses a comprehensive understanding of federal and state regulations, state and institutional policies and procedures to accurately guide students through financial aid, scholarship and loan application processes. This position supports both routine reporting to senior management and outside agencies and ad hoc reporting. Assists the Associate Director and other unit administrators in fulfilling unit responsibilities for compliance with all federal, state and institutional regulations, policies and procedures related to the administration of financial aid as well as ensuring the institution fulfills all Title IV compliance requirements. Assists the director with performance management data; enrollment management functions, especially those related to access and affordability, emergency preparedness; and statistical data management, including outcomes assessment.
Responsible for the implementation and enhancement of all financial aid technology operations, including the federal Title IV Wide Area Network. Works closely with
FAS leadership to manage the Colleague Data System as it relates to awarding and disbursing all Title IV, institutional, state, and private funding, federal, state and institutional reporting and compliance, and other critical FA Colleague or Colleague-related processes, including the
FISAP and
FIAS. Helps to ensure that the Colleague system is processing aid compliant with federal and state laws, and institutional policy. Identifies gaps and creates automated safety nets as needed. Assists with the administration of other unit technology functions such as digital imaging, web, and software applications. Works closely with the director to implement new Colleague,
USDOE and
MHEC applications. Coordinates and executes the development, testing, and implementation of technological process improvements and solutions for a wide range of office functions. Responsible for the maintenance, update, and integrity of all financial aid records. Develop and implement training and information modules for students and staff. This position is critical to the college's compliance with federal laws and regulations. |
| Essential Role Responsibilities |
Responsible for coordinating daily core operations for financial aid services and managing the FA Colleague Data System, including all aspects of importing/exporting financial aid records and data, batch award processing, disbursement, reconciliation,
SAP (Satisfactory Academic Progress) processing, and beginning- and end-of-semester/year processes.
Oversee the management of entrance and exit loan interviews in accordance with federal regulations and keeps abreast of the latest methods of delivery.
Oversee all
COD related programs. Electronically transmits and receives all response
USDOE files related to electronic
USDOE processing.
Collaborate with the
FAS leadership to set up and implement the Colleague System for each new academic year.
Responsible for testing new patches and updates to Colleague software for the Financial Aid Module and
FAS related modules.
Assists with all aspects to support Colleague and ImageNow in determining student eligibility, including evaluation, online processing, all related record keeping, and student notifications.
Implements ongoing in-house staff training program and new staff training and assists
FAS leadership with the development of broader professional training.
Assists the
FAS leadership with providing training and/or updates to other college units regarding changes to federal and state laws, regulations and programs as appropriate.
Assist with updating the Financial Aid Services policies and procedures manual.
Assist the director and associate directors to develop office publications.
Assist the director with data requests and reporting as needed.
Serves as the secondary destination point administrator for the Student Aid Internet Gateway.
Responsible for assisting the director with FA system-related access requests, both internally and with third party software systems.
Responsible for overseeing system-related processes associated with student eligibility, including eligibility assessment, online processing activities, electronic record management, student notification functions and the processing and administration of federal, state, institutional, and private grants, scholarships, and loans.
Serves on various committees across campus to ensure that federal regulations and expectations are met by the college and that the needs of financial aid students and the impact of various college programs, policies and procedures for this population are considered
Works with other Enrollment Services units, the Finance Office and other college units, as appropriate, to resolve student issues.
Performs other duties as assigned.

Formal Education, Courses, Training Programs, and Experience
- Associate's degree preferred.
- Three to five years of financial aid experience required.
- Excellent knowledge and experience with technology, including student information systems (Colleague preferred); digital imaging technology; software applications, particularly MS Office and financial aid programs; and the Web, the Internet and e-mail.
- Ability and motivation to acquire and apply new knowledge and assist the director with the implementation of new software applications.
- Acquires and maintains in-depth technical and practical knowledge of federal and state regulations and policies regarding the federal, state, and institutional aid programs, college policies, and procedures.
- Ability to collect, compile, and analyze information and data, including knowledge of basic math concept's ability to calculate ratios.
- Excellent ability to initiate, locate and solve problems.
- Maintains knowledge of college policies and procedures and policies and procedures of other Enrollment Services, Student Development and Finance offices.
- Experience with Excel and the ability to set up and work with large spreadsheets of data.
Knowledge of Operations, Systems, and Procedures
- Extensive knowledge of federal and state financial aid laws and regulations required.
- Knowledge of procedures including relevant policies and procedures for the Enrollment Services areas (Admissions, Financial Aid, Records & Reg., Testing), and the Finance Office preferred. Knowledge and experience with Colleague and ImageNow systems strongly preferred.
- Knowledge of Internet, automated financial aid processing, college network, phone, electronic mail, and college website required.
- Ability to learn, implement, use, and train others in new computer applications.
- Experience with and ability to work with the Internet, Adobe, all forms of online financial aid processing, the college network, querying software, telephone system and web applications required.
- Ability to learn, develop, implement, use, and train others in current and new computer applications.
- Knowledge of college personnel practices.
- Thorough knowledge of college and unit emergency operations.

DOE Student Guide to Financial Aid) related to financial resources and regulations; online resources, such as the
NASFAA and
SFA websites; journals and other publications such as the Chronicle of Higher Education; academic records of all kinds. |

| Physical Demand Summary |
Financial Aid Services is a fast-paced, busy, deadline-driven, and sometimes high stress environment, which requires concurrent management of numerous tasks. Evening hours required. This position requires periodic local and occasional distant travel. Additional hours and flexibility is an absolute necessity, particularly in peak periods. Occasional weekend programs required. |
