Scheduling Assistant

The Scheduling Assistant supports project scheduling and coordination by maintaining project schedules, tracking project information, preparing reports, and coordinating assignments with customers and project teams. This position assists with monitoring project progress, identifying potential scheduling issues, and maintaining accurate project documentation and records.


  • Organize, implement, and maintain scheduling systems to support identified projects and project plans.
  • Enter and maintain project information in applicable databases and systems.
  • Prepare and provide scheduled reports for contract coordination and reporting purposes.
  • Communicate with customers and project staff to schedule work and coordinate assignments.
  • Work with project teams to define scope of work and develop and update detailed project schedules.
  • Track cost information and identify variances from the original project plan.
  • Generate forecasts, variance reports, and other documentation to evaluate project schedule progress and performance.
  • Identify developing problem areas and factors that may impact project success.
  • Analyze critical paths and project constraints to determine the potential impact of schedule changes.
  • Research and report on factors that may affect project schedules and successful project completion.
  • Evaluate current procedures and recommend changes to improve process efficiency.
  • Utilize standard planning and scheduling processes and tools.
  • Prepare plans and schedules for small and routine projects.
  • Perform other duties as assigned.
  • HS diploma/GED required.
  • A degree in a business related field preferred.
  • 1-2 years' experience in scheduling and planning in a manufacturing environment required.
  • Basic MS Office applications, with emphasis on spreadsheet analysis required.
  • Scheduling software experience preferred.
  • ERP systems (Syspro, SAP, etc.) experience required.
  • Proven track record in safety excellence is required.
  • Adheres to all safety and environmental compliance regulations set by the organization. Notify management immediately of any safety concerns, hazardous conditions, or injuries.
  • Ability to read and interpret work orders. (Expand identify errors and correct)
  • Process work orders in a timely fashion to meet corporate and customer deadlines
  • Possess a strong work ethic, excellent communication skills, problem-solving abilities, cooperative attitude, strong attention to detail and can work in a team environment.
  • Adheres to the company's employee handbook policies and embodies the organization's core values
  • Complete company compliance and safety training when required.
  • Ability to work a flexible schedule and work under pressure in a fast-paced work environment.
  • Physical requirements for this role include, but are not limited to the following:
    • Sitting in a normal seated position for extended periods of time while operating a computer with occasional light lifting.
    • Regular visits to the production facility and engaging with operations team.
