TITLE: Office Clerk A


POSITION OBJECTIVE:


Material Control: Maintains control of all resins used in the Profile Plant for production. Completes an inventory of all resins and reclaim material that may be contained in railcars, super sacks, Gaylord boxes, and silos. Ensure that material is on-hand for production runs by scheduling through NJ Headquarters or Master batch in Lolita. Enter monthly physical inventory into the AS400 for posting and complete a yearly physical inventory.


Shipping: To assist the Shipping department personnel with organizing, filing, and arranging shipping instructions for customer orders so that they are shipped most efficiently and use established guidelines to resolve any deviations on a timely basis. Cover for the Shipping Coordinator during their absence, which will involve scheduling trucks, printing pick-ups, and bills of lading.



QUALIFICATIONS:



  • High school diploma or equivalent
  • Six (6) months of experience in Material Control.
  • C. Six (6) months of computer experience.
  • Typing and clerical skills
  • Attention to detail and strong organizational skills
  • Critical thinking, analytical and problem-solving skills
  • Strong verbal and written communication skills
  • Ability to work well as a team and interact with different groups of people


  • Ensure consistent, dependable attendance and demonstrate a willingness to accommodate non-standard work hours as necessary.
  • Capable of effectively managing job-related stress and fostering productive workplace interactions.



JOB RESPONSIBILITIES:



  • Review Ready-To-Ship report for customer orders ready for pick up and shipment.
  • Generate pick-up list(s), print, and give to Shipping Loaders.
  • Call approved carriers to arrange trucks for pick up (rail and export as needed).
  • Print labels for LTL's and give to Shipping Loaders.
  • Reserve trailers for preloads as needed.
  • Combine orders to prepare for distribution trucks and receive manifest for bill of lading.
  • Create file folders for every order to be shipped.
  • Enter in shipment information given by loader on the pick-up list and print out bill of lading. Reconcile bill of lading with pickup list.
  • Print "Ship-at-Night" bill of ladings as needed and write in the required information for shipment.
  • Enter in the "Ship-at-Night" the following day into the AS400 and file in the correct folder.
  • Contact carriers for late trucks or if the truck does not show at all.
  • Communicate with Marketing in NJ Headquarters and trucking carriers.
  • File all completed shipments in designated file cabinets.
  • Move old files from front office to the Shipping Warehouse for storage.
  • Complete a physical inventory every morning of all resins located in the buffer area, racks, and on each extrusion line.
  • Check all silo's Celtek readings both inside the building and outside.
  • Re-weigh all Gaylord boxes of resin in extrusion and place in appropriate rack location.
  • Inventory Master batch material and place order as needed.
  • Update daily physical inventory report in the computer.
  • Arrange railcars to be spotted with rail crew and complete necessary paperwork required by Central Warehouse.
  • Enter silo readings on dry-erase board.
  • Unload resin delivered from Master batch, sign bill of ladings, date, and weight, and send copy to Central Warehouse.
  • Unload resin delivered from other suppliers and stage in designated location.
  • Complete a Monthly Physical Inventory through the AS400 for NJ Headquarters.
  • Complete a Yearly Physical Inventory through the AS400 for NJ Headquarters.
  • Learn and maintain Profile's recycling program.
  • Follow safe work practices, keeping oneself and others free from harm and danger.
  • Willing to learn and follow instructions from superiors.
  • Must have regular, reliable attendance, and willing to work outside the regular schedule as required.
  • Willing to handle job stress and interact with others in the workplace.



TRAINING:



  • Inteplast Basic Required Training (IBRT, OSHA)
  • ISO Awareness
  • Forklift Certification
  • On-the-job training with Department and Plant Management



AUTHORITY / DECISION MAKING:



  • Schedule LTL shipments
  • Schedule Truckload shipments
  • Enter Bills of Lading
  • Enter UPS packages
  • Physical Inventory
  • Decide classification of reclaim/scrap/contaminated resins.
  • Schedule railcars and decision to pump to silos.
  • Schedule receiving of shipments



MACHINES, TOOLS, EQUIPMENT, ELECTRONIC DEVICES & SOFTWARE:


All items listed below are used throughout the day at any given time and duration:





    • Computer: all day for AS400, labels for LTL's, and distribution manifest using Word and Excel.
    • Calculator: all day for totaling weights for UPS, LTL's, and truckloads.
    • Telephone: all day for communication with carriers, Lolita traffic, and Marketing in NJ HQ.
    • Computer: all day email communication with carriers, Lolita traffic, and Marketing in NJ HQ.
    • Copier: half a day spent copying items to prepare files.
    • Daily PPE, i.e., steel-toe shoes, Gloves, glasses, and hearing protection (when needed)
    • Utility knife
    • Forklift
    • Scale for weighing boxes of material
    • Two-way Radio





PHYSICAL ACTIVITY REQUIRED FOR THIS POSITION:



  • Balancing, maintaining body equilibrium to prevent falling when walking, standing, or crouching on narrow, slippery or erratically moving surfaces.
  • Stooping, bending body downward and forward by bending spine and waist. Example: Changing paper in printer, copier machine.
  • Kneeling, bending legs at knee to come to a rest on knee or knees.
  • Crouching, bending the body downward and forward by bending leg and spine.
  • Reaching, extending hand(s) and arm(s) in any direction. Example: Giving signals, reaching for material or handle on item.

  • Walking, moving about on foot to accomplish tasks, particularly for long distances.
  • Pushing, using upper extremities to press against something with steady force to thrust forward, downward or outward.
  • Pulling, using upper extremities to exert force to drag, haul or tug objects in a sustained motion.
  • Lifting, raising objects from a lower to a higher position or moving objects horizontally from position to position. DEGREE OF LIFTING: 5-25 lbs
  • Fingering, picking, pinching, typing or otherwise working primarily with fingers rather than the whole hand or arm as in handling.
  • Grasping, applying pressure to an object with fingers and palm.
  • Feeling, perceiving attributes of objects such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
  • Talking, expressing or exchanging ideas by means of the spoken word; via face to face or telephone.
  • Hearing, perceiving the nature of sounds with no less than a 40 db loss @ 500 Hz, 1,000 Hz and 2,000 Hz with or without correction. Ability to receive verbal communication and to make fine discriminations in sound, such as when making fine adjustments on machined parts.
  • Repetitive motions, substantial movements (motions) of the wrists, hands and/or fingers. Example: Filing, sorting mail, starting ignition of machinery.



VISUAL ACTIVITY REQUIRED FOR THIS POSITION:



  • Reading small text, fine print, invoices, and labels at close range.
  • Screen Monitoring: Looking at computer monitors and digital displays for data entry and software navigation for long periods.
  • Depth & Focus: Adjusting focus between physical paper documents on a desk and vertical computer screens.
  • Color Discrimination: Identifying color-coded folders, highlighted spreadsheet cells, or warning flags on software interfaces.
