Position Summary: The Omnify COBRA Program Coordinator is responsible for the administration and ongoing support of COBRA and employee benefit programs, including system configuration, employer setup and maintenance, reporting, invoicing support, compliance activities, and participant account management. This role serves as a subject matter expert on COBRA regulations, internal policies, procedures, and the Alegeus platform, partnering closely with Relationship Management, Customer Care, and Operations teams to ensure accurate, compliant, and timely service delivery. In addition, the Coordinator supports HSAs, FSAs, HRAs, LSAs, and DCAs and provides backup coverage for key operational functions across the team. Essential Functions:
- Serve as the primary point of contact for COBRA Alegeus system inquiries, staying current on system releases and enhancements, and partnering with management to implement updates.
- Assist with COBRA Alegeus initiatives, including beta testing, system configuration, and ongoing enhancements.
- Execute employer setup and maintenance within Alegeus for all applicable benefit products, including COBRA, HSA, FSA, LSA, and HRA.
- Execute COBRA-related employer communications, including open enrollment materials and system updates.
- Generate and distribute monthly COBRA employer activity reports to support compliance with applicable regulatory requirements; prepare monthly reporting for Controllers.
- Prepare, reconcile, and distribute monthly COBRA disbursements via ACH for carriers and employers.
- Execute COBRA enrollment changes, updates, corrections, and terminations within the COBRA platform in accordance with regulatory guidelines.
- Assist with monthly employer invoicing processes, ensuring applicable subsidies are accurately applied to invoices and providing backup support for related operational activities to maintain continuity and service standards.
- Facilitate semi-annual COBRA census reporting and periodic regulatory reporting requirements.
- Process COBRA-related documentation, including lockbox items, payments, and correspondence received via fax, email, or mail.
- Develop, document, and maintain COBRA procedures and operational workflows for the Omnify platform.
- Facilitate and serve as a contact regarding COBRA EDI file processing, collaborating with HRIS systems and benefits providers to ensure accurate and timely data exchange.
- Cross-train on all Omnify operational functions and provide backup support across the Operations team as needed.
- Coordinate periodic mailings and fulfillment activities related to COBRA administration.
- Partner with Customer Care and Relationship Management teams to resolve system issues, research inquiries, and address operational questions.
- Provide back up to Customer Care with documentation, transaction processing, and ongoing support for customer issues through phone calls and on-site visits.
- Maintain working knowledge of applicable regulations, including COBRA, HIPAA, IRS Section 125, Publication 969, Publication 502, and related regulatory updates.
- Understand and adhere to all bank policies, laws, and regulations applicable to their role. Complete compliance training: follow internal processes and controls as required.
- Report all compliance issues, violations of law or regulations in accordance with the steps defined in bank policies.
- Regular and reliable attendance is an essential function of this position.
- Perform other job-related duties or special projects as assigned.
Qualifications:
- Bachelor's degree in Business or related field preferred.
- At least 2 years of experience in human resources, employee benefits, banking, financial services, or a related field is required. An equivalent combination of experience in benefits administration and financial service operations will be considered.
- Strong understanding of COBRA, HIPAA, and employee benefit products and regulations.
- General accounting experience a preferred.
- Proficient knowledge of Microsoft Office products, existing bank software preferred or demonstrated ability to learn new software quickly.

Working Environment: Sedentary work, occasionally lifting and/or carrying up to 20 pounds. Indoor work with occasional travel required. Infrequent exposure to outdoor elements or hazards.
