Play an integral role in supporting the successful execution of major construction, maintenance, turnaround, and industrial projects by ensuring workforce labor hours are accurately captured, verified, processed, and reported. As a Senior Timekeeper, you will serve as a trusted resource for project leadership, payroll administration, craft supervision, and project controls teams, helping ensure labor data integrity while supporting compliance, workforce accountability, and cost management.

Your ability to manage complex timekeeping activities, resolve discrepancies, and support workforce reporting requirements will make you a critical member of the project support team.

Purpose of the role

The Senior Timekeeper is responsible for administering and coordinating workforce timekeeping activities for construction, maintenance, turnaround, and project operations personnel. You will ensure labor hours are accurately recorded, validated, processed, and reported in accordance with company procedures, project requirements, customer expectations, and payroll deadlines.

Working with minimal supervision, you will independently manage a variety of timekeeping processes, labor reporting activities, payroll support functions, and workforce data administration tasks. You will collaborate closely with supervisors, project controls personnel, payroll teams, craft professionals, and management to ensure labor information is complete, accurate, and available to support project execution and financial reporting requirements.

As a senior-level support professional, you may also assist with process coordination, reporting improvements, training support, and guidance for less experienced personnel while helping maintain operational excellence across project support functions.

You will be responsible for:

  • Coordinating daily and weekly workforce timekeeping activities for project personnel, craft workers, contractors, and support staff.
  • Collecting, reviewing, validating, and processing employee time records to ensure accuracy and compliance with company procedures.
  • Monitoring labor hour reporting and identifying discrepancies, omissions, or inconsistencies requiring correction.
  • Verifying labor charging, cost coding, project allocations, and work activity classifications.
  • Supporting payroll processing activities through accurate and timely submission of approved labor records.
  • Coordinating with supervisors, forepersons, construction managers, and project leadership regarding timekeeping issues and corrections.
  • Maintaining timekeeping records, files, documentation, and supporting audit requirements.
  • Generating labor reports, workforce summaries, productivity reports, and project support metrics.
  • Assisting project controls and management teams with labor tracking, workforce reporting, and labor cost analysis.
  • Reviewing labor data and identifying trends, errors, and reporting concerns that may impact project performance or payroll accuracy.
  • Supporting workforce onboarding activities involving timekeeping system setup, orientation, and process guidance.
  • Assisting employees and supervisors with questions related to labor reporting, payroll support, and timekeeping procedures.
  • Supporting audits, compliance reviews, and verification activities associated with workforce labor reporting.
  • Participating in process improvement initiatives focused on reporting accuracy, workflow efficiency, and data integrity.
  • Maintaining confidentiality and security of employee records and payroll-related information.
  • Providing guidance and support to less experienced timekeeping or administrative personnel as required.

What you'll bring to the role

  • High school diploma or equivalent required.
  • Typically 4+ years of experience in timekeeping, payroll administration, workforce administration, project controls support, accounting support, construction administration, or related functions.
  • Experience supporting construction, industrial, maintenance, turnaround, manufacturing, or project-driven environments preferred.
  • Strong understanding of workforce timekeeping practices, labor reporting requirements, and payroll support processes.
  • Experience reviewing and validating labor hours, payroll records, workforce reports, and project labor data.
  • Strong mathematical and analytical skills with the ability to perform detailed calculations and data verification.
  • Demonstrated ability to identify discrepancies, investigate issues, and implement corrective actions.
  • Advanced attention to detail with a commitment to data accuracy and record integrity.
  • Proficiency with Microsoft Excel, Outlook, Word, Teams, and related business systems.
  • Experience using timekeeping systems, workforce management platforms, payroll systems, ERP systems, or project reporting tools.
  • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
  • Ability to work independently with minimal supervision while maintaining a high level of professionalism and accuracy.
  • Strong verbal and written communication skills with the ability to effectively interact with employees, supervisors, project teams, and management.
  • Ability to handle confidential employee and payroll information with discretion.
