Position Overview
The Admissions and Recruitment Manager is responsible for the operational management of the School of Pharmacy's admissions pipeline and the execution of its recruitment strategy. This full-time, 12month position includes designated in-person workdays, with offsite outreach recruitment needs and seasonal demands. Evening, weekend, and statewide travel are required based on the needs of the program.

This role serves as the primary point of contact for prospective and applicant students, coordinates admissions processes, manages communication workflows, and represents the School at recruitment events. The Manager plays a critical role in cultivating strong applicant pools, supporting prospective students from first inquiry through matriculation, and implementing recruitment activities that advance the School's enrollment goals. The position collaborates closely with, and under the guidance of, the Director for Recruitment and Admissions, as well as with faculty, staff, pre-pharmacy advisors, and campus partners to promote the School of Pharmacy and support the strategic goals of the program.

Job Description
45% - Admissions Management
The Manager oversees the daily operations of the PharmD admissions process and ensures a smooth, efficient, and student-centered experience for all applicants. Responsibilities include managing admissions workflows, coordinating communication, maintaining accurate data, and supporting the Admissions Committee.

Key duties include:
  • Managing daytoday admissions operations, including inquiry tracking, application coordination, file preparation, interview scheduling, decision workflows, and communication with applicants.
  • Conducting transcript evaluation, prerequisite review, course exception submissions for review and verification of admissions requirements for applicants.
  • Maintaining accurate and timely data within CRM systems and dashboards to monitor applicant progress and overall cycle metrics.
  • Collaborates with the Admissions Committee and prepares applicant materials for faculty review.
  • Provide advising and guidance to prospective and current applicants regarding admissions requirements, prerequisite coursework, and application competitiveness.
  • Delivering constructive feedback to applicants seeking to strengthen future applications.
  • Collaborate with Academic Affairs, KU School of Pharmacy Dean's Office.
45% - Recruitment Strategy & Outreach
The Manager implements recruitment initiatives and represents the School across a variety of campuses, community events, and organizations. This role is responsible for building relationships, supporting pipeline development, and coordinating and attending high-impact recruitment activities, such as building tours and pre-pharmacy club events.

Key duties include:
  • Executing recruitment initiatives designed to meet enrollment goals, as directed by the Director of Admissions & Recruitment.
  • Includes regular travel within Kansas and surrounding states and regional travel to support recruitment events and outreach activities.
  • Representing the School at middle and high schools, college fairs, transfer institution programs, conferences, and community outreach events.
  • Building and maintaining relationships with prepharmacy advisors, community partners, campus offices, and organizations to support recruitment and pipeline development.
  • Planning and coordinating oncampus and virtual recruitment programs such as preview days, information sessions, applicant visit experiences, school tours, workshops, summer camp and earlyengagement activities.
  • Collaborating with School and University Communications to develop recruitment materials including brochures, presentations, digital resources, and event materials.
  • Supporting the maintenance and updates of website content and CRM communication workflows.
  • Collecting, tracking, and analyzing recruitment data to evaluate the effectiveness of initiatives and inform adjustments to recruitment strategies.
10% - Other Duties
  • Assisting with School initiatives, special projects, and committee assignments as directed.
  • Representing the School professionally in all interactions with students, families, advisors, partner institutions, and external stakeholders.
  • Supporting operational needs and School-wide activities that align with the mission and goals of the School of Pharmacy.

Required Qualifications
  1. Master's degree OR Bachelor's degree plus two (2) years of related experience in higher education, student services, recruitment, marketing, or a relevant discipline.
  2. Demonstrated experience using database or CRM systems as evidenced through application materials.
  3. Excellent written communication skills as evidenced through application materials.
  4. Experience in student advising, recruitment, admissions, or a related studentfacing role as evidenced through application materials.
  5. Minimum of one (1) year of supervisory or team lead experience.

Preferred Qualifications
  1. Documented experience in admissions or recruitment within higher education.
  2. Experience managing communication workflows or CRMbased recruitment funnels as evidenced by application materials.
  3. Experience with pharmacy education, health professions programs, or STEM student recruitment as evidenced by application materials.
  4. Demonstrated ability to analyze data to support recruitment and admissions decisionmaking as evidenced by application materials and prior work history.
