Job Title: Administrative Functional Support

Location(s): Lafayette, LA

Job Summary:
We are seeking a dependable and customer-focused Team Assistant - Shipping & Receiving to support daily office operations in Lafayette, LA. This position serves as the primary point of contact for employees at the site while providing administrative, shipping and receiving, warehouse, and facilities support. The ideal candidate is proactive, organized, adaptable, and enjoys working in a fast-paced environment with changing priorities.

Key Responsibilities:

Employee & Administrative Support

  • Serve as the primary administrative contact for the Lafayette office.
  • Partner with the Senior Team Assistant supporting the MSY area.
  • Coordinate new hire onboarding activities.
  • Assist with computer equipment requests and IT service coordination.
  • Support fleet vehicle administration.
  • Respond to employee questions and provide general administrative assistance.

Front Desk & Communication

  • Answer and route incoming phone calls professionally.
  • Direct inquiries to the appropriate departments.
  • Provide excellent customer service to employees and visitors.

Mail, Shipping & Receiving

  • Receive, sort, and distribute incoming mail and packages.
  • Coordinate UPS, FedEx, courier, and shipping services.
  • Process outgoing shipments.
  • Track sensitive and priority deliveries.
  • Research received packages and notify the appropriate project personnel.

Warehouse & Facilities Support

  • Maintain warehouse organization and logistics.
  • Perform shipping and receiving activities.
  • Coordinate office supplies, catering, snacks, and employee support needs.
  • Manage vendor services including:
    • Coffee service
    • Janitorial services
    • Pest control
    • Shredding services
    • First-aid supplies
  • Support office renovations, renewals, and facility-related projects.
  • Assist with vendor contract coordination.

Technology & Systems

  • Utilize Microsoft Outlook, Word, Excel, PowerPoint, and Copilot.
  • Learn and adapt to new digital tools.
  • SAP experience is a plus.

Additional Responsibilities

  • Support regional and local business initiatives.
  • Collaborate with cross-functional teams across multiple office locations.
  • Complete additional administrative duties as assigned.

  • Primary: Lafayette, LA (104 Annonce Street, Lafayette, LA 70507)
  • Supports: St. Rose, LA (New Orleans) - Remote support
  • 100% Onsite in Lafayette, LA

Schedule:

  • Monday-Friday
  • 7:00 AM-4:00 PM or 8:00 AM-5:00 PM
  • 1-hour lunch (40 hours per week)
