The Operations Specialist - Records & Inventory supports long-term care facility transition and closure projects by coordinating medical record management, inventory processes, and operational tasks. This position ensures records, equipment, supplies, and other facility assets are properly identified, organized, tracked, and handled in accordance with regulatory requirements and project timelines.

Essential Responsibilities

* Assist with the organization, review, and management of facility records during transition and closure activities.

* Coordinate the collection, storage, transfer, and disposition of medical records in compliance with applicable regulations.

* Maintain accurate tracking logs for records, equipment, supplies, and other facility assets.

* Assist with inventorying facility supplies, equipment, furniture, and other items.

* Coordinate the packing, labeling, transportation, storage, and disposition of records and inventory items.

* Support facility teams with closure-related operational tasks and documentation.

* Identify missing documentation, discrepancies, or inventory concerns and communicate issues appropriately.

* Maintain organized project files, reports, and tracking documents.

* Assist with onsite facility assessments and transition activities.

* Work collaboratively with facility leadership, vendors, and internal project teams.

Qualifications

* Must be enrolled in or a recent graduate of an accredited Health Care Administration program.

* Experience working in healthcare, long-term care, medical records, operations, or a related field preferred.

* Strong organizational skills and attention to detail.

* Ability to manage multiple tasks and meet deadlines.

* Proficiency with Microsoft Office and data tracking tools.

* Ability to maintain confidentiality of sensitive information.

* Strong communication and problem-solving skills.

* Ability to travel to client locations as needed.
