LOCATION: Remote - This is a home based, virtual position that operates Monday - Friday from 8:30am-5:00pm EST. Vaya Health welcomes applications from NC, SC, GA, TN, VA, MD, and FL. Preference will be given to North Carolina residents.

GENERAL STATEMENT OF JOB

The ROOTS Hub Project Manager is responsible for planning, coordinating, and supporting implementation activities associated with one or more strategic initiatives in support of organizational goals and priorities. Reporting to the Vice President of Project Management, this position partners with executive leadership, business stakeholders, project sponsors, vendors, community partners, and other stakeholders to develop and manage project plans, coordinate implementation activities, monitor progress toward milestones and deliverables, facilitate stakeholder engagement, and support successful achievement of project objectives and business outcomes. Initial assignments may include support for grant-funded, community-based, operational transformation, technology, or healthcare-related initiatives.

ESSENTIAL JOB FUNCTIONS

Project Planning and Delivery:

Lead planning, coordination, execution, and monitoring of assigned projects and strategic initiatives to ensure successful achievement of business objectives, deliverables, and implementation milestones.

Key Responsibilities:

  • Develop and maintain project charters, workplans, schedules, milestones, and implementation roadmaps.
  • Define project or workstream scope, objectives, deliverables, success criteria, and resource requirements.
  • Coordinate project activities across business, operational, technical, vendor, and external stakeholder groups.
  • Monitor project progress and proactively address barriers to successful delivery.
  • Identify, document, and manage project risks, issues, assumptions, dependencies, and action items.
  • Facilitate resolution of project challenges and escalate concerns as appropriate.
  • Coordinate implementation readiness, go-live preparation, and transition-to-operations activities.
  • Ensure project activities remain aligned with approved objectives, timelines, and organizational priorities.

Stakeholder Engagement and Coordination:

Facilitate collaboration, communication, and alignment among project stakeholders to support successful project execution and organizational outcomes.

Key Responsibilities:

  • Build and maintain effective working relationships with project sponsors, business owners, leadership teams, vendors, community partners, and other stakeholders.
  • Coordinate stakeholder engagement activities and facilitate project-related meetings, workshops, and working sessions.
  • Support consensus-building and alignment among stakeholders with varying priorities and perspectives.
  • Communicate project status, risks, decisions, and impacts to appropriate stakeholder groups.
  • Coordinate activities across multiple departments, teams, and organizations to achieve project objectives.
  • Serve as a liaison between project teams, leadership, and external stakeholders as needed.

Governance and Leadership Support:

Support organizational governance processes through effective project oversight, decision support, and executive communication.

Key Responsibilities:

  • Prepare project status reports, executive summaries, presentations, and decision-support materials.
  • Facilitate governance reviews, steering committee meetings, project status meetings and any ad hoc meetings needed to support planning, execution, monitoring/control or closure phases.
  • Develop and present recommendations related to project risks, issues, priorities, and resource needs.
  • Track decisions, approvals, action items, and governance outcomes.
  • Ensure project activities remain aligned with organizational governance standards and established project management practices.
  • Escalate significant project concerns and implementation challenges to appropriate leadership.

Reporting, Monitoring, and Project Controls:

Provide project monitoring, reporting, and control activities to support informed decision-making and successful project outcomes.

Key Responsibilities:

  • Maintain project schedules, status reports, RAID logs, action logs, and project documentation.
  • Monitor project performance against scope, schedule, budget, quality, and deliverable expectations.
  • Track and report project metrics, milestones, and key performance indicators.
  • Support financial tracking, budget monitoring, and resource planning activities as applicable.
  • Ensure project documentation is accurate, complete, and maintained in accordance with organizational standards.
  • Support audit, compliance, reporting, and documentation requirements as needed.

Organizational Change and Implementation Support:

Support successful implementation and adoption of project outcomes through readiness planning, communication, and operational transition activities.

Key Responsibilities:

  • Support organizational readiness assessments and implementation planning activities.
  • Coordinate communication, training, and stakeholder preparation activities associated with project implementations.
  • Identify operational impacts and support transition planning activities.
  • Facilitate lessons learned, retrospective reviews, and continuous improvement efforts.
  • Assist with development and documentation of operational processes, procedures, and support models.
  • Support sustainable adoption of project outcomes and achievement of intended business benefits.

KNOWLEDGE, SKILLS, & ABILITIES

Project Management Knowledge and Experience

  • Demonstrated knowledge and experience applying project management principles, methodologies, tools, and techniques to successfully deliver business outcomes and organizational benefits.
  • Knowledge of project planning, scheduling, implementation, monitoring, governance, risk management, issue management, change management, and project reporting practices.
  • Ability to tailor project management approaches and methodologies to the size, complexity, and needs of the initiative, utilizing Agile, Waterfall, Hybrid, or other appropriate delivery methods.
  • Experience leading projects and strategic initiatives within complex, cross-functional, and matrixed environments.
  • Experience supporting implementation of new programs, operational capabilities, business processes, technology solutions, or organizational initiatives.
  • Ability to manage project delivery and coordinate activities across geographically dispersed and multi-disciplinary teams.
  • Experience facilitating implementation, readiness, transition, and operationalization activities.

Stakeholder Engagement and Leadership

  • Strong stakeholder engagement and relationship management skills, with the ability to build credibility and maintain effective working relationships across diverse stakeholder groups.
  • Ability to successfully manage a broad network of relationships and collaborate effectively with leadership, business partners, vendors, technical teams, community partners, and external stakeholders.
  • Demonstrated negotiation, facilitation, and conflict resolution skills.
  • Ability to influence outcomes, build consensus, and achieve alignment among stakeholders with differing priorities and perspectives.
  • Experience working within governance structures, steering committees, executive leadership teams, and multi-stakeholder environments preferred.
  • Experience supporting community-based initiatives, healthcare, public health, behavioral health, grant-funded programs, or multi-organizational collaborations preferred.

Communication and Analytical Skills

  • Strong client-facing, verbal, written, presentation, and facilitation skills.
  • Ability to communicate complex information clearly and effectively to technical, operational, executive, and external audiences.
  • Ability to prepare clear, concise, and professional reports, presentations, project documentation, executive summaries, and status communications.
  • Ability to accurately and effectively communicate information, recommendations, risks, and project impacts to stakeholders at all levels.
  • Strong analytical and critical thinking skills, including the ability to research, analyze, interpret, and synthesize complex information.
  • Ability to identify root causes, evaluate alternatives, and develop practical solutions to complex business and operational challenges.

Technical Skills

  • Proficiency with Microsoft Office products, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
  • Experience utilizing project management and collaboration tools such as Microsoft Project, Smartsheet, Azure DevOps, Jira, SharePoint, or similar platforms.
  • Ability to develop, maintain, and analyze project schedules, dashboards, reports, and project management artifacts.

EDUCATION & EXPERIENCE REQUIREMENTS

High School diploma or GED is required. Bachelor's degree in Human Services, Business Administration, Public Administrations, or related field preferred.

  • 3 years of Project Management experience

Preferred work experience:

  • Experience leading or supporting grant-funded programs, community-based initiatives, multi-stakeholder collaborations, or governance-driven implementation efforts preferred.
  • Experience supporting healthcare, behavioral health, public health, managed care, human services, or other regulated industry initiatives preferred.
  • Experience leading or supporting complex projects, operational transformations, system implementations, or business process improvement initiatives preferred.

Licensure/Certification Preferred:

  • Project Management Professional (PMP) or equivalent certification preferred.

MENTAL/PHYSICAL REQUIREMENTS

  • Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading.
  • Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists, and fingers.
  • Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time.
  • Mental concentration is required in all aspects of work.

RESIDENCY REQUIREMENT: The person in this position must live in NC, SC, GA, TN, VA, MD, or FL.

SALARY: Depending on qualifications & experience of candidate. This position is exempt and is not eligible for overtime compensation.
