Position Title: Dispatcher, Motor Vehicle
SCA Labor Category: 01060 - Dispatcher, Motor Vehicle Job Summary: The Motor Vehicle Dispatcher is responsible for coordinating and dispatching vehicles and drivers to ensure the safe, efficient, and timely transportation of personnel, equipment, materials, and supplies. This position serves as the central point of communication between drivers, customers, and management while maintaining accurate records and ensuring compliance with applicable regulations, company policies, and contract requirements. Responsibilities
- Second Shift 4:00 P.M. to 12:00 A.M., Monday through Friday, including Federal holidays, in accordance with PWS requirements.
- Receive and prioritize transportation requests from customers, departments, or supervisors.
- Assign drivers and vehicles based on schedules, availability, route efficiency, and operational requirements.
- Monitor vehicle locations and driver status using radios, telephones, GPS, or dispatch software.
- Maintain continuous communication with drivers to provide routing information, schedule updates, and operational instructions.
- Track vehicle movements and respond to delays, emergencies, or service disruptions.
- Prepare, maintain, and update dispatch logs, trip records, driver assignments, and transportation schedules.
- Coordinate vehicle maintenance scheduling to minimize operational downtime.
- Ensure drivers comply with applicable safety regulations, company policies, and Department of Transportation (DOT) requirements, when applicable.
- Verify transportation documentation, trip tickets, mileage reports, and fuel usage records.
- Assist in resolving customer service issues related to transportation requests.
- Report accidents, vehicle breakdowns, incidents, and other operational concerns to management.
- Support daily operational planning to maximize fleet utilization and service efficiency.
- Maintain confidentiality of sensitive operational information.
- Perform other related duties as assigned.
- Perform a variety of clerical and administrative support tasks, including filing, scanning, copying, data entry, and maintaining both electronic and paper records.
- Answer and direct incoming telephone calls, respond to routine inquiries, and provide general administrative support to customers, drivers, and management.
- Maintain office files, transportation records, and dispatch documentation in accordance with company policies and contract requirements.
- Assist with scheduling meetings, coordinating office activities, and ordering or maintaining office supplies as needed.
- Support other administrative and operational functions as assigned to ensure efficient office and transportation operations.
Minimum Qualifications
- High school diploma or equivalent.
- One year of experience in dispatching, transportation coordination, fleet operations, or a related field preferred.
- Ability to communicate effectively both verbally and in writing.
- Proficiency with computers, Microsoft Office applications, and dispatch or fleet management software.
- Strong organizational, multitasking, and time management skills.
- Ability to work effectively in a fast-paced environment while managing multiple priorities.
- Knowledge of geographic service areas and routing principles is preferred.
- Ability to obtain and maintain any required security clearances or access credentials.

Physical Requirements
- Primarily sedentary work with extended periods of sitting.
- Frequent use of computers, telephones, and communication equipment.

- Occasionally lift or move items weighing up to 25 pounds.
- May require occasional walking, standing, bending, or reaching.
Work Environment
- Office or dispatch center environment.
- May require shift work, including evenings, weekends, holidays, or on-call support depending on contract requirements.
- Fast-paced environment requiring frequent communication with drivers and customers.
Preferred Qualifications
- Experience supporting government or military transportation operations.
- Familiarity with fleet management software.
- Knowledge of Federal Motor Carrier Safety Regulations (FMCSR) and applicable transportation requirements.
