Position Summary

The Extra Help Program Service Specialist will provide information services related to the operation of the Counseling Center in support of its responsibility to provide professional counseling and consultation services to the UIC campus. This position requires obtaining screening information from clients during intake, the ability to screen for crisis, scheduling appointments, independently resolving routine client problems.

Duties & Responsibilities
  • Help determine students' immediate needs when answering intake calls and directs/schedules for timely and appropriate level of clinical staff involvement.
  • Obtains information from clients to identify their service needs which includes crisis.
  • Enters non-clinical client information into Titanium.
  • Manage various forms of communication (phone, email, and fax).
  • Informs Clinical Director of problems related to appointment coverage, client complaints, etc.
  • Schedules and reschedules appointments, informing clients of anticipated delays and changes in counselor.
  • Maintain files by scanning documents into client files and ensure client files are signed off properly by counselors before they are closed.
  • Assist in yearly retention of client files.
  • Ensures that service and informational requests from clients, families, university staff, and outside agencies are routed to appropriate staff members to fulfill requests.
  • Maintains inventory of forms needed for various counseling services and activities.
  • Serves as liaison between the client and the Counseling Services and bring problems to the attention of the appropriate supervisor.
  • P-Card Reconciler in Chrome River.
  • Keep inventory of office supplies and order when needed.
  • Assist in getting new hires and trainees set up in the Counseling Center.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications

  1. Any one or combination totaling three (3) years (36 months) from the categories below:
    1. Coursework in social work or behavioral sciences, or closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible work experience in social service/ counseling at a paraprofessional level under qualified supervision.

Preferred Qualifications

Experience
  • Strong oral and written communication skills in interacting with professional staff and trainees, people with varied social, economic, and cultural backgrounds and mental health needs.
  • Ability to organize, prepare, and maintain records, reports, files, and correspondence.
  • Familiarity with office management principles.
  • Familiarity with the Center's program areas and facilities.
  • Must be able to deal diplomatically and considerately with a variety of issues and of persons. The person also must be able to check information and data for accuracy and completeness.
Knowledge
  • Working knowledge of human nature
Skills
  • Skill in interacting with people from varied social, economic, and cultural backgrounds

Abilities
  • Ability to interview individuals to determine their physical, social, and/or possible psychological needs
  • Ability to organize, prepare, and maintain records, reports, files, and correspondence
  • Ability to obtain services necessary to meet participants' needs
  • Ability to establish effective working relationships with program participants and staff
