Position Overview
The Temporary Executive Assistant is an unclassified, nonexempt position in the Office of the Vice Provost for Student Affairs. This role provides primary administrative and scheduling support to the Vice Provost, ensuring effective coordination of daily activities and timely communication with internal and external stakeholders. The position serves as a central point of contact for calendar management, meeting coordination, and general administrative needs.

This role requires the ability to manage sensitive and confidential information with discretion and professionalism. The individual must exercise sound judgment, maintain a high level of organization, and respond effectively to changing priorities in a fast-paced environment. Strong communication skills, attention to detail, and adaptability are essential to support the Vice Provost's schedule and administrative functions.

The Office of Student Affairs supports student success through programs and services that enhance the academic and personal experience. This temporary position helps ensure continuity of administrative operations during a staff leave by providing reliable, responsive support to the Vice Provost and associated leadership.

The successful candidate works on-site at the Lawrence campus and must meet all position requirements by the effective date of the appointment.

Job Description
70% Administrative Support & Scheduling
  • Manage the Vice Provost's calendar, including scheduling, rescheduling, and coordinating meetings with internal and external stakeholders.
  • Serve as a primary point of contact for scheduling requests and general inquiries directed to the Vice Provost.
  • Monitor and follow up on scheduling requests, confirming details and ensuring timely communication.
  • Ensure the Vice Provost is informed of urgent or time-sensitive calendar changes and provide timely communication regarding upcoming commitments (e.g., meetings, events, remarks), with routine updates shared during scheduled check-ins.
  • Maintain flexibility in a fast-paced environment, adjusting priorities and responding to changing scheduling needs.
  • Provide day-to-day administrative support, including preparing and editing correspondence, emails, and documents as needed.
  • Use multiple computer systems and programs, including Teams, Zoom, Outlook, Excel, Access, OneNote, Word, IFAS, Image Now, PowerPoint, and Adobe.

30% Support Services and Additional Duties
  • Provide administrative support to the Vice Provost and office on an as-needed basis.
  • Assist with coordination of meetings, preparation of materials, or event logistics only when specifically requested.
  • Provide limited support for travel arrangements, expense tracking, or purchasing processes as needed.
  • Support general office operations, including responding to requests and assisting with administrative tasks to ensure continuity during the leave period.
  • Provide administrative assistance for Assistant and Associate Vice Provosts as needed; as well as other duties as assigned.

Required Qualifications
  1. Bachelor's degree and seven (7) years of office experience; OR High School diploma or GED equivalency and ten (10) years of office experience.
  2. Experience with scheduling software (Outlook), Microsoft Office (Word, PowerPoint, Excel), and web content management software such as Drupal, as evidenced in application materials.
  3. Two years of editorial and written communication skills.
  4. At least one (1) year of experience working in an environment that required planning, organizing, and meeting deadlines.
  5. At least one (1) year of work experience that required handling sensitive and confidential materials with discretion.

Preferred Qualifications
  1. Excellent interpersonal and oral communication skills and the ability to relate to various public, as demonstrated by successful experience in previous employment and/or academic settings.
  2. Experience providing administrative support to a senior leader, executive, or administrator, as evidenced in application materials.
  3. Demonstrated ability to be highly self-directed, detail-oriented with a high attention to accuracy, as evidenced in application materials.
  4. Knowledge of the University of Kansas structure, organization, and administration procedures, as evidenced in application materials and previous work history.
