Job Summary

Under supervision of the Business Office Manager, provide high-level analytical and administrative support to the Chair of Nutrition Department. Independently prepare faculty merit, promotion, appraisals and all academic appointment dossiers. Facilitate faculty and all academic recruitments.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • H.S. Diploma or equivalent.
  • Experience working in front desk operations including managing a multi-line phone system, scheduling meetings and maintaining calendars, and ordering supplies.
  • Experience with academic personnel, human resources, recruitment and/or administration.
  • Demonstrated experience researching and assessing information and making accurate decisions regarding policy.
  • Experience using organizational skills to prioritize various administrative tasks, make informed recommendations, and work in the midst of frequent interruptions to meet established deadlines.
  • Interpersonal, customer service and communication skills to effectively communicate and interact with diverse populations including faculty, university administrators, staff, students, and off-campus professionals.Working knowledge of PCs and software applications such as Word, Excel, and Outlook.

Preferred Qualifications

  • Knowledge of processing Academic recruitment, appointment, appraisal, merit and promotion, and other relevant actions at the University or College level and knowledge with MyInfoVault (MIV), online voting system for merits/promotion actions, and AP RECRUIT.
  • Knowledge of Federal/State policies and procedures governing the submission and maintenance of Agricultural Experiment Station projects.
  • Demonstrated knowledge of University Policies and procedures related to Academic Personnel.

Department Overview

The Food Chain Cluster provides administrative and technical support to the multidisciplinary academic departments of Animal Science and Nutrition within the College of Agricultural and Environmental Sciences. The cluster serves more than 470 employees including 63 senate faculty, 73 academic federation members, 102 staff, 108 graduate student employees, 101 undergraduate students employees, and 26 postdoctoral scholars housed in more than 25 buildings. The Cluster supports state and extramural funds with expenditures in excess of $63M.This position is one of two in the Food Chain administrative cluster with responsibility for processing of all academic personnel actions. This position primarily supports and provides expertise to academic appointees affiliated with the Department of Nutrition, and serves in a back-up capacity to academic appointees affiliated with the Department of Animal Science. This position is solely responsible for providing executive administrative support to Nutrition's Department Chair and Vice Chair.

Department Specific Job Scope

Department contact for faculty and all academic leaves of absence. Administrative support to the department Chair, including meetings, maintaining calendars and drafting/editing correspondence. Provide back up support as-needed to the Nutrition department's front desk, and for academic personnel actions in the Animal Science department. Responsible for administrative portion of the Agricultural Experiment Station reporting as well as the annual reporting for department faculty. Work with Business Office Manager and department chair to track deadlines, resolve administrative issues with regard to academic personnel.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
