DESCRIPTION OF WORK

In this Clerical Supervisor 2 position, you will support the smooth operation of the bureau by managing clerical functions, supervising agency headquarters office activity, and providing administrative support to the Bureau Director and other staff members. It is ideal for someone who likes solving problems and keeping tasks on track. Your duties in this role will include the following:
- Office Supervision: Lead clerical staff who handle merchandise orders and reports, license sales, artwork requests, and daily operations for public needs of the agency headquarters
- Communication: Handle and distribute incoming mail and email as well as prepare outgoing responses and requested materials
- Contract Support: Prepare, execute, and advise staff on contracts, purchase orders, bids, and work statements following Commonwealth purchasing procedures
- Budget Oversight: Prepare the bureau's annual budget for review and monitor expenditures to ensure all divisions are following their budgets
- Inventory Management: Order, receive, and stock bureau office supplies; and coordinate purchase, maintenance, and recordkeeping for office equipment
- Human Resources: Support hiring steps and verify onboarding documents, ensure position descriptions and performance reviews are up-to-date, and submit timesheets
- Marketing Assistance: Coordinate the production of art, marketing, and informational materials; organize Commission contests and awards; and assist with events and sale of agency licenses as needed

- Full-time employment
- Work hours are 7:30 AM to 4:00 PM, Monday - Friday, with a 60-minute lunch.
- Telework: You may have the opportunity to work from home (telework) part-time. Telework is not permitted during the initial six-month probationary period; eligibility may be granted upon its successful completion. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- One year as a Clerical Supervisor 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- One year as a Clerical Assistant 3 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Two years of as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- An equivalent combination of experience and training.
Additional Requirements:
- You must be able to perform essential job functions.
