SUMMARY

The Administrative Assistant I (AA) uses independent judgment in a variety of day-to day assignments and responsibilities as the assistant to the Director of Health & Human Services (DHHS). The AA schedules and arranges all meetings, appointments and travel arrangements, screens all incoming calls for the Director and replies to and resolves many calls, forwarding those that require the Director's specific attention. The AA reviews all mail and composes responses for routine correspondence. The AA may create reports on behalf of the Director with information gathered from research and compilation of data. The AA is responsible for special projects assigned by the DHHS and will also provide general office support as needed to other Department staff.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • The Administrative Assistant I schedules and arranges all meetings and appointments as well as travel plans for the Director.
  • In the absence of the DHHS the AA receives calls for the DHHS, resolves many and forwards those needing the DHHS's attention.
  • Mail is reviewed and dispersed. The AA independently responds to routine correspondence.
  • Reports are generated by specific projects/project management the DHHS requests and created from research and data compiled by the Administrative Assistant. Typing of a variety of correspondence, contracts, and reports.
  • Other duties as delegated.

QUALIFICATION REQUIREMENTS

  • High School Diploma.
  • Completion of a high school business curriculum which included at least one typing course.
  • 3 years technical level clerical office work or
  • 2 years' experience as an Office Support Person III or
  • Any combination of experience or general office coursework and computer skills.
  • Strong computer skills including Word & Excel efficiency.
  • Ability to carry out assignments independently.
  • Effective speaking and writing skills.
  • Ability to work effectively with administrative.
  • officials, the general public and other employees.
