Position Highlights

The Licensing Program Coordinator supports the day-to-day execution of the University of Arizona's trademark licensing program. This role assists in the coordination of licensing workflows, provides reporting support, and helps maintain brand standards. This role will act as the first point of contact for internal licensed vendors, fielding internal campus requests, and informing the licensing team of issues and concerns on a continuous basis. This position will also assist in growing the institution's public demand for licensed product, increasing retail delivery channels.

Duties & Responsibilities

Partner Relationships:

  • Provide guidance to campus partners on licensing processes, vendor options, and brand requirements.
  • Support operational workflows with licensed vendors related to submissions, timelines, and process questions.
  • Assist with planning and post-event reporting for retail programs, pop-ups, and campaigns.

General Licensing:

  • Assist in the coordination of internal use of university marks for campus departments, student organizations, and other internal constituencies.
  • Track licensee activity, artwork volume, and approval status to support program visibility.
  • As needed, provide artwork approval support through intake, review, routing, and tracking of submissions through CLC's BrandManager360.

Communication:

  • Provide regular communication support with campus constituents and licensees regarding licensing policies and guidelines through efficient response to phone and email inquiries.
  • Support execution of approved licensing programs and activations by communicating and tracking timelines and readiness.

Reporting:

  • Assist in collecting, organizing, and maintaining licensing and retail-related data, including sales and royalty information.
  • Under supervision, prepare routine reports summarizing activity, performance, and trends.
  • Identify basic data patterns or variances and elevate observations to leadership.
  • Maintain internal tracking tools and databases to support reporting and analysis needs.

Knowledge, Skills, and Abilities (KSAs):

  • Basic knowledge of brand standards, licensing, retail, or merchandising concepts.
  • Strong organizational and coordination skills with attention to detail.
  • Ability to work with data, spreadsheets, and reporting tools.
  • Strong written and verbal communication skills.
  • Customer-service mindset with the ability to support multiple stakeholders.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience in program coordination, licensing, retail, brand, or data-related work required.
Preferred Qualifications

  • Experience with trademark licensing, brand management, or promotional products.
  • Experience with licensing approval systems or reporting platforms.
  • Experience working in a higher education or large organizational environment.

As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
