Overview of Leadership Needs

Through a hands-on, supportive style, the Inventory Control Coordinator is expected to assist in the daily operational needs of the Parts Department to ensure HML has the inventory necessary to meet customer demand while maintaining effective checks and balances. The Inventory Control Coordinator is expected to maintain productive relationships with all internal departments and assist in maintaining relationships with suppliers.

The Inventory Control Coordinator is expected to be highly organized, detail-oriented, and focused on follow-through, ensuring that tasks, requests, and processes are completed accurately and in a timely manner. This role plays a key part in supporting the operational effectiveness of the parts business by assisting in coordination, tracking, and communication across the organization.

Essential Responsibilities

Support Purchasing/Inventory Needs of the Company: Assist in monitoring inventory levels and supporting purchasing activities. Maintain communication with CSMs, parts departments, service departments, and sales departments to help manage inventory levels ahead of demand.

Supplier Coordination: Communicate with suppliers to follow up on orders, registrations, and requests. Ensure items are moving and provide updates as needed.

Returns, Write Downs and Claims: Track and follow up on returns, write downs, and vendor claims to ensure completion and proper documentation.

Business Performance: Assist in tracking and reporting the performance of the parts business. Sales by branch/product line and inventory levels by branch/product line are essential elements.

Problem Resolution: Assist in the resolution of customer/supplier issues utilizing other resources as required and escalate when needed.

Communications: Maintain open and effective communications with all personnel and all departments.

Parts Systems & Onboarding Coordination: Own the onboarding and offboarding of all parts-related systems. This includes setting up new parts employees in OEM, submitting and tracking all registration requests, and following up with vendors until completion. Ensure all access is completed in a timely manner for new hires and removed for terminated employees. Maintain a tracking system for all system access and registrations to ensure visibility and accountability.

Purpose of Position

With support from the Corporate Parts Manager, HML product line managers/vice-presidents and corporate staff, the Inventory Control Coordinator is expected to support an effective purchasing/inventory management program designed to ensure customer satisfaction.

The Inventory Control Coordinator is responsible for assisting with the day-to-day operations of the Corporate Parts Department, including tracking the parts business, supporting inventory management, assisting with reporting, coordinating systems access, and maintaining effective relationships and communication with all internal departments and suppliers.

This role is responsible for ensuring that key processes are supported, tracked, and completed, allowing the Corporate Parts Manager to focus on higher-level responsibilities.

* Experience in parts, inventory, purchasing, or administrative support preferred
