Job Summary

The RFP and Quoting Specialist is responsible for managing and optimizing the end-to-end RFP and quote-to-order processes to support efficient opportunity conversion and revenue growth. This role collaborates cross-functionally with Sales, Customer Service, Marketing, and Finance to interpret requirements, develop accurate and timely RFP and quotes, and ensure seamless order processing.

Serving as a key liaison between internal teams and customers, the specialist oversees a centralized intake of quote requests, assigns dedicated ownership, and enables rapid quote generation for active opportunities. The role also monitors quoting performance, closure rates, and overall throughput, providing reporting and insights to drive continuous improvement.

Additionally, the RFP and Quoting Specialist ensures compliance with internal processes, RFP requirements, and audit standards, while supporting the development of scalable workflows, content libraries, and best practices that enhance efficiency, consistency, and overall proposal and quoting effectiveness.

Duties & Responsibilities

  • Collaborate cross-functionally with Sales, Marketing, Customer Service, and Finance to develop and update compliant, competitive proposals and quotes.
  • Analyze and interpret RFP requirements to ensure full compliance with client specifications and submission guidelines.
  • Develop, write, and edit persuasive proposal content aligned with client needs and business objectives.
  • Manage multiple concurrent RFPs and timelines, ensuring accurate, on-time submissions.
  • Build and maintain proposal content libraries to improve efficiency and consistency.
  • Partner with sales leadership to define win strategies, messaging, and competitive positioning.
  • Lead review processes and incorporate stakeholder feedback to enhance proposal quality and impact.
  • Manage the end-to-end quote-to-order process, including intake, development, validation, and delivery.
  • Serve as a liaison between Sales, Customers, and Customer Service to support accurate quoting and seamless order processing.
  • Monitor proposal and quoting performance (e.g., win rates, turnaround time, throughput) and provide reporting and insights.
  • Identify process improvements and ensure adherence to internal standards, compliance requirements, and best practices.

Minimum & Preferred Qualifications and Experience:

Minimum Qualifications

  • Minimum 3 years of experience in proposal management, RFP response, quoting, sales operations, or a related function.

  • Minimum 2 years of experience with quote-to-cash processes, pricing, and order management workflows.

  • Minimum 2 years of experience working cross-functionally with Sales, Customer Service, Finance, and Marketing teams.

  • Solid understanding of RFP processes, compliance requirements, and proposal lifecycle management.

  • Ability to manage multiple projects and deadlines in a fast-paced, deadline-driven environment.

  • Excellent written and verbal communication skills, with the ability to develop clear, persuasive, and client-focused content.

  • Detail-oriented with solid organizational and time management skills.

Preferred Qualifications

  • 5+ years of experience in RFP & Quotes

  • Solid analytical skills with experience tracking performance metrics (e.g., win rates, turnaround time, throughput).

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with CRM and ERP systems (e.g., Salesforce, NetSuite, SAP) preferred.

  • Ability to identify process gaps and implement improvements to enhance efficiency and accuracy.

Education

Bachelor's degree in Business Administration, Marketing, Communications, or a related field (or equivalent work experience).

Language requirements

Proficiency in English is required.

Compensation:

The anticipated salary range for this position is $90,000 - $120,000 plus benefits. Actual placement within the range is dependent on multiple factors, including but not limited to skills, education, and experience.

This position also qualifies for up to 10% annual bonus based on Company, department, and individual performance.

Physical requirements/Work environment

This position primarily works in an office environment. It requires frequent sitting, standing, and walking. Daily use of a computer and other computing and digital devices is required. May stand for extended periods when facilitating meetings or walking in the facilities. Some local travel is necessary.
