The Administrative Assistant provides administrative and direct support to one or more of the management team in Facilities Management that includes: Construction Services, Engineering Services, Environmental Services, Food & Nutrition Services, Security & Safety Services, Environment of Care, Gift Shop and Greenbush Garden Bistro to enhance efficiency of business. Assumes responsibilities for meeting organization and maintaining an efficient and practical calendar. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives screens and directs incoming calls, visitors, mail and email. Maintains files, records and calendars.

Required Qualifications:
  • High school graduate with computer related course work in Microsoft Outlook, Word, and Excel, including secretarial coursework.
  • One-year prior secretarial experience in healthcare, construction or engineering field, receptionist duties and data entry. May consider additional education in lieu of experience.
  • Knowledge of Microsoft Excel, Word, PowerPoint and databases.
  • Excellent communication skills both verbal and written.
  • Excellent planning and organizational skills.
  • Must be able to manage priorities and deadlines.
Preferred Qualifications:
  • Two years Business Administration or secretarial training is preferred.
  • Two years prior experience preferred.
  • Personal computer knowledge in Computerized Maintenance Management System.
