Responsible for providing front office support services necessary for business functions in the medical facility.
Minimum Education and Experience
Two years of college and three to five years related experience; competent computer skills; or an equivalent combination of relevant education and experience.
Preferred Education and Experience
Preferred Qualifications
Bilingual-Fluent in Spanish and English.

Knowledge, Skills, and Abilities (KSA)

  • Strong patient relations skills
  • Strong personal computer literacy, including working knowledge of Microsoft Office (Excel and Word)
  • Ability to work accurately with data, including integrity checks, summation, and effective communication to internal and external constituents
  • Strong organizational skills; ability to manage multiple activities simultaneously and prioritize effectively
  • Self-starter with the ability to work independently
  • Demonstrates a high degree of accuracy and readability in all work and team projects
  • Protects patient health information (PHI) in accordance with HIPAA standards

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Essential Duties and Responsibilities

  • Provide coverage at the checkin/checkout window.
  • Answer incoming phone calls and respond to patient inquiries.
  • Manage patient checkin and checkout processes.
  • Collect and post patient copays and other payments.
  • Schedule patient appointments in the medical billing system and maintain each clinician's appointment calendar.
  • Obtain and update patient demographic and insurance information in the scheduling software.
  • Contact patients prior to appointments to obtain required referrals.
  • Coordinate patient referrals as needed.
  • Verify insurance authorizations before scheduled appointments.
  • Create patient charts for upcoming appointments.
  • Contact families when additional patient information or documents are required before appointments.
  • File patient charts and paperwork with Callier front desk staff for upcoming visits.
  • Serve as a liaison between clinicians and patients/families.
  • Create and adjust clinician schedule templates as needed.
  • Balance patient collections daily.
  • Assist with financial screening for patients requesting gift funding.
  • Serve as backup to the Patient Account Specialist and Medical Schedulers.
  • Perform other duties as assigned.
