This position will work in the Crude Oil Contract Administration Group reporting to the Contract Administration Manager. This will include Gathering, Long-Haul Pipeline, Terminal & Bulk Marketing - Cargo Confirmations.



  • Work alongside Commercial and Legal to draft Contracts, Memorandums, Notification Letters and other standard form documents as well as respond to Customer paper.
  • Liaison with external Customers and Compliance department in effort to complete the external KYC registration process for ET Crude Oil business entities. Complete informational and gathering requests in response to external questionnaires. Provide weekly status updates.
  • Coordinate, track and report the KYC onboarding process for external customers between Bulk Trading, Compliance, Commercial, Credit and Customer.
  • Gather documents from customers and direct information between various internal departments to process new Business Entity set ups and maintenance requests for Business Development and Marketing Commercial departments.
  • Support Scheduling with preparing and distributing Maintenance Notices, Shipper communications, Connecting Carrier Notices as well as assist with responding to any Crude Oil demurrage claim.
  • Work with Commercial, Project Managers and CIAC to invoice and track reimbursable projects.
  • Route and coordinate documents for approval and execution in Docusign.
  • Maintain the Repository with timely, accurate contract files and related records.
  • Develop, maintain, and publish reports from the Repository pertaining to and following the internal records retention policies.
  • Implement and maintain newly designed CLM system for all contracts.
  • Develop, collaborate and maintain processes designed to prepare Accounting Advice Briefs summarizing contract terms.
  • Track contractual obligations and administer contract trigger events.
  • Develop, maintain processes to audit settlement statements / invoices for new and amended settlement terms.
  • Meet SOX and other governmental requirements as established for this position.


  • Provide timely response to a variety of internal and external customer requests.
  • Generate and deliver professionally driven contract-related correspondence.
  • Gather contractual data and prepare reports for internal business needs.
  • Long Term project: Organize multiple source folders and existing Repositories to migrate legacy contracts into new CLM platform.
  • Special projects as required, including cross-training and provide back up for other team members.
  • Any additional duties as assigned from time to time.

  • Enrolled in an undergraduate degree program majoring Business
  • Preferred classification: Junior or Senior
  • General requirements include self-motivated individuals.
  • Involvement in activities outside college studies
  • Above average GPA
  • Willingness to travel.
