CAE is seeking a detailoriented
Regulatory Administrator to support our Regulatory Compliance team for Part 135 operator training programs. In this role, you will help ensure accuracy, audit readiness, and timely management of documentation required under FAA regulations. You'll work closely with operators, training managers, and internal teams to maintain compliance and support safe, effective training operations.
What You'll Do
- Conduct audits of Part 135 Operator Specifications, Training Programs, Checklists, SOPs, Maneuvers, Instructor and Check Airman lists, OpsSpecs database, STARS entries, and related materials.
- Maintain, upload, and track manuals and documentation for ~80+ operator certificates.
- Assist with onboarding new Part 135 operators and collecting all required documentation.
- Run reservation reports and manage the Part 135 training dashboard for upcoming training events.
- Audit incoming documents for accuracy, regulatory compliance, and currency.
- Resolve conflict reports and identify issues requiring followup or investigation.
- Maintain systems tracking Instructor, Check Airman, and TCE training records.
- Support 24month operator audits as scheduled or as needed.
- Notify operators of instructorstatus changes and coordinate with training managers on replacements.
- Crosstrain within Regulatory Compliance to support coverage and process improvement.
- Maintain a suspense system to ensure manuals and training documents remain FAAcompliant.
- Audit teamgenerated documents as part of quality control.
- Prepare reports, compile data, and maintain digital records using CAE's systems.
- Participate in meetings related to compliance updates and regulatory issues.
- Conduct meetings with training managers to confirm Check Airman information.
- Participate in Safety Management Systems (SMS) training and departmental learning.
- Assist with inbound/outbound calls to operators and internal teams.
- Serve as a central point of contact for operators requiring clarification on compliance issues.
- Create and maintain process documentation in shared systems.
Minimum Qualifications
- College Diploma required
- Knowledge of FAA regulations and regulatory documentation processes.
- Strong attention to detail, accuracy, and documentcontrol discipline.
- Excellent communication and customerservice skills.
- Highly organized; able to manage multiple tasks independently.
- Proficient in Microsoft Office and able to learn new systems quickly.
Preferred Qualifications
- Aviation experience and familiarity with U.S. FAA regulations for Part 135 operations.
- Knowledge of FAR Parts 61, 91, 121, 135 Appendix E & F, FAA Order 8400.10.
- Experience using SharePoint, PowerApps, Power Automate, or similar processautomation tools.
- Background in compliance, auditing, aviation operations, or document control.
Physical Requirements
- Occasionally climbs ladders, stairs, scaffolding, ramps, or poles.
- May move through tight or confined spaces.
- Frequently remains stationary (sitting or standing) for long periods.
- Occasionally moves between work areas to accomplish tasks.
- Occasionally lifts or adjusts items up to 50 lbs.
- Frequent repetitive hand and wrist motions.
- The primary work location for this position is at the Dallas Training Facility in Dallas, Texas
- Minimal travel may be required (less than 10%).
