We're seeking a Part-Time Administrative Assistant Coordinator in our Portland, OR office to help us take vision to value and create lasting impact.
YOU WILL:
Directly supports Vice President at lease at a 4:1 ratio.
Manages all calendars to include scheduling, coordinating meetings, room set up, conference calls, catering needs, etc.
Coordinates all details and logistics for domestic/international travel, hotel, car rental, client visits and itinerary.
Submits weekly expenses and reconciliation of NH American Express Corporate Card.
Assists with special projects, presentations, and analytics as needed.
Supports other Team EAs when on vacation, illness, or in training.
Provides receptionist coverage.
Collaborate with HR with onboarding new hires - Day One events.
Supports staff as needed with planning events as they relate to executive attendance and involvement.
Typing, formatting, and creating documents including meeting notes and follow up proposals.
Monitor, manage, and respond (if appropriate) to email, voicemail, and other written/printed correspondence.
Manage marketing collateral.
Maintain and track office equipment (i.e. printers, copiers LCDs).
Liaison with Building Management.
Maintain security system and access cards.
Manage onsite parking.
Ticket management for clients and consultants (i.e. Hockey, Baseball, Basketball).
Create announcements and order gifts for employees.
Arrange courier deliveries.
Provide administrative office back up where needed.

Have superior organizational skills. Can create and maintain organizational procedures/systems.
Thrives in an environment of rapid change and easily handles shifting priorities
Proficiency with Microsoft Office applications - Outlook, Word and Excel
Strong multi-tasking skills
Must be self-motivated, takes initiative, and work with minimal guidance or supervision
Team player with excellent customer service skills
Associate or Bachelor's Degree preferred
Prior experience working in a consulting or services environment preferred
