Administrative Officer
Job Summary
Incumbent is an experienced administrative professional who will be responsible for planning and managing the functions and operations of the Cross Bay Pediatric Prepare Clinics including Mission Bay, Oakland, and Walnut Creek and Adult PREPARE at UCSF Health. The functions and operations at all locations are complex and broad in scope and responsibilities, and are highly critical and sensitive in nature.
Provides administrative & analytical support to UCSF Benioff Children's Hospital Pediatric Prepare Cross-Bay Director and the Pediatric and Adult Prepare Director. Works closely with physicians, APPs, staff and all levels of management within UCSF Benioff Children's Hospitals, UCSF Medical Center, UCSF Campus, outside agencies and the public.
Provides direct administrative, project and program support to department leaders, performing full range of short- and long-term planning for the clinic, including but not limited to IT, facilities, department communications, human resources. Responsible for projects, programs, initiatives and proposals that are complex, broad in scope, requires data and situational analysis/evaluation, and related - but not limited to - UCSF Health's True North Pillars and Strategic Priorities that have broad impact across departments and the health system: Patient Experience, Quality & Safety, People, Financial Strength, Strategic Growth, Learning Health System.
This is a demanding position that functions with a high degree of autonomy, advanced service orientation, understanding the requirements to prioritize issues according to urgency and allocation of time and resources. Must be proactive, confidential/discrete, demonstrate analytic acumen and exercise good judgment in selecting methodology, techniques and evaluation criteria for obtaining solutions and completing deliverables. Problem-solving frequently requires analysis of unique issues and problems without precedent and/or structure. Works independently but closely with department leadership, team members, and various organizational staff and faculty.
Represents the UCSF Health system, departments and leaders in professional interactions and collaboration with all levels of internal and external faculty, staff, management and leadership. Functions with a high level of attention to detail, and must be capable of working in fast-paced, demanding, complex settings and environments.
The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $78,900 - $167,300 (Annual Rate). Department Description The Pediatric and Adult PREPARE essential part of the pre-operative preparation of patients of all acuity levels requiring anesthesia for surgical, radiological, and diagnostic procedures. The Adult and Pediatric PREPARE clinics goal is to reduce the morbidity of surgery/anesthesia, to reduce anxiety, and to deliver superior customer service focusing on optimal pre-surgical/pre-procedural preparation.
Required Qualifications
- Bachelor's degree in related area and/or equivalent experience/training.
- 5 or more years of experience collaborating with multiple surgical teams to ensure the best quality care for patients
- 5 or more years of experience with executing a variety of administrative operational activities such as event planning, brochure design, In-service Training workshops.
- 5 years or more of experience in progressively responsible administrative support.
- 5 or more years working in a pediatric pre-anesthesia clinic.
- Excellent interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- In-depth knowledge of Pediatric Prepare workflows.
- Knowledge of common University-specific computer application programs.
- Small to mid-level project management skills.
- Ability to multi-task with demanding timeframes.
- Ability to use discretion and maintain confidentiality.
- Strong skills in short-term planning, analysis, problem-solving, and customer service.
- Ability to work independently, exercise their judgment to resolve administrative operational issues, and execute special projects assigned to them.
- Experience in health care industry.
- Solid analytical/problem-solving skills.
- Thorough knowledge of University rules and regulations, processes, protocols and procedures.
