Primary Purpose of Organizational Unit
The mission of the School of Social Work is to advance equity, transform systems, improve lives. The School's curriculum supports the mission and recognizes the uniqueness of the region served, including concerns for disadvantaged, vulnerable, and oppressed individuals, families and communities. Classes provide rigorous and evidence-based content, and give students the opportunity to explore theory, learn intervention skills and engage in challenging dialogue with colleagues.
Position Summary
The primary purpose of the Executive Assistant position is to support the Associate Dean in the Office of Community Engagement and Outreach ( OCEO) in the School of Social Work ( SSW). The Associate Dean oversees outreach and engagement efforts of the School throughout North Carolina, including multiple programs providing training and technical assistance to state and local government and non-profits; professional development and lifelong learning; community-engaged scholarship, and initiatives that provides consultation, evaluation, and collaborative problem-solving with communities, non-profits and researchers.

The Executive Assistant will be the initial point of contact for the Associate Dean and is a critical resource link between other units at SSW, including the Dean, Vice Dean, and Associate Deans for educational and administrative units, as well as high-level individuals and officers in the University, and external agencies and professional organizations with whom the School operates. The Executive Assistant will also provide support for the Public Service Leadership Program's ( PSLP) Assistant Dean of Workforce Development, who oversees a School-led multi-year Coalition grant aimed at reinvigoration and revitalizing the State's social workforce.

The Executive Assistant will be involved in extensive high-level public contact that requires a keen awareness of protocol and cultural sensitivity. They must analyze, prioritize, and track multiple complex schedules, confidential information, and multiple projects with attention to efficient facilitation of workflow, timeliness, accuracy and high-quality work in a fast-paced environment with routine interruptions. All while providing skillful facilitation and processing of information This position will be responsible for verbal and written correspondence. The Executive Assistant must be able to anticipate when adjustments in schedules need to be made due to competing commitments and priorities; requiring sensitivity, judgment, and the ability to prioritize. This individual must also possess excellent acumen regarding issues that need troubleshooting in a timely way and provide their executives with critical information on these matters.

The Executive Assistant must work collaboratively as a member of the team. The Executive Assistant will be responsible for researching and synthesizing information to facilitate decision-making for the team. The Executive Assistant must possess the ability to work independently as a problem solver. The Executive Assistant exhibits a high degree of professionalism in their work.

This position will perform a variety of administrative and business functions to address the needs of the OCEO, PSLP, and the School of Social Work including: extensive calendaring, travel itineraries and reimbursements; organization of financial information and preparation of accurate reports; office management; internal and external communications; analysis and development of correspondence, minutes, and agendas; acting as liaison to facilities management; email management; drafting and editing various written documents, including MOUs, newsletters, social media posts and policy/procedure documents; and assisting with OCEO events. This position will provide essential organizational and procedural functions, such as financial processing in ConnectCarolina, travel assistance in Concur, digital recordkeeping, and special project assistance. Duties encompass a variety of functional activities and tasks and require thorough knowledge of university operating procedures and guidelines as well as a knowledge of the SSW's policies, procedures, and operations.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
Required qualifications include that the candidate identify as highly organized and detail-oriented with the ability to work in a fast-paced, confidential, and complex environment; demonstrate exceptional professional interpersonal skills; demonstrate the ability to foster relationships with clients and customers at varying levels internal and external to the University; and have excellent verbal and written communication skills. The candidate must have the ability to gather data, sort complex information, and prepare reports, analyze and interpret policies and guidelines, work in a team and independently, maintain effective professional relationships, conduct administrative office work and processes, manage a variety of tasks and follow-up on assignments, and take the initiative on projects with excellent time and project management proficiency.

Candidate must be highly proficient in the use of technology to support administrative functions and events including Office 365 Suite, Microsoft Teams, OneDrive, and videoconferencing, and be adept at learning new tools, such as project management software. The candidate must be dedicated to partnering with colleagues and accomplishing work to advance our shared mission, and be dedicated, flexible, collaborative, and customer-friendly.
Preferred Qualifications, Competencies, and Experience
Preferred qualifications include prior experience working with high-level executives in a university, higher education, or related setting. An understanding of University systems, offices, and practices; and experience with University systems such as ConnectCarolina, and Concur. Preferred qualifications also include exceptional writing skills and experience with communications software and processes, such as digital newsletter creation and dissemination, basic graphic design software, and professional social media platforms.
