DEPARTMENT OVERVIEW

The Academic and Student Services Department supports the academic success, professional development, and well-being of approximately 260 undergraduate students each term. Within this department, the Student Services team oversees the residential operations of the UCDC program. Unit responsibilities include housing operations; community development and programming; housing assignments; crisis management and emergency response; basic needs coordination; environmental health and safety; and compliance with Title IX and Clery Act requirements related to harassment, bias, and incident reporting. The department also collaborates closely with Facilities and Operations staff to coordinate housing logistics, safety, and building support for the residential and academic facility, and occasionally works with Guest Housing and Events staff on building access or related support items.

POSITION SUMMARY

The Assistant Director supports the overall operation of the UCDC residential and student services program, ensuring a safe, inclusive, and developmentally supportive environment for students participating in the University of California Washington Program. This position provides leadership in housing operations and crisis response, supervises Coordinator of Student Development (CSD) staff and student staff responsible for desk coverage and community engagement, and supports the unit's conduct and compliance processes. Through this work, the Assistant Director helps maintain a high-quality residential experience that promotes student well-being, accountability, and connection to the broader academic and professional mission of UCDC. As a live-on professional staff member, the Assistant Manager plays a critical role in student well-being, staff supervision, and 24/7 emergency response, rotating as Level 2 on-call with the Manager. This position is located in Washington, DC.

Responsibilities

  • 50% Housing Operations Leadership: Manage all aspects of housing operations, including room assignments, move-in/move-out logistics, and coordination with Facilities on occupancy tracking and room changes. Utilize the StarRez housing management system to maintain accurate records of room assignments, occupancy data, and housing communications. Serve as the Student Services primary liaison with Facilities and Housekeeping, to address residential and concerns. Ensure housing operations align with UC system policies, procedures, and best practices. Oversee the Student Services Desk, ensuring efficient daily operations for package distribution, equipment checkouts, and student inquiries. Manage desk staffing using a hybrid model of CSDs and student employees, including recruitment, training, and scheduling. Oversee the Basic Needs Food Pantry, including ordering, stocking, and inventory management, to ensure consistent access to essential food and supplies. Coordinate with assigned CSD to conduct environmental health and safety checks each academic term. Assist the Manager with development, review, and implementation of emergency response plans.
  • 20% Staff Supervision and Training: Directly supervise Coordinators of Student Development (CSDs), ensuring they provide peer mentorship, crisis response, and community programming. Train and develop CSDs in housing operations, student conduct, crisis management, and engagement strategies. Provide regular feedback and formal performance evaluations to promote CSD professional growth and leadership skills. Oversee CSD implementation of the UCDC student engagement plan.
  • 10% Student Conduct and Policy Enforcement: Serve as primary conduct officer, overseeing cases documented and submitted by CSDs. Educate students on community standards, housing policies, and conflict resolution strategies. Ensure all conduct cases align with UC policies and procedures. Coordinate with UC campus conduct offices as needed for case management and student support. Oversee conduct-related technology and collaborate with the Manager to maintain and update the UCDC Code of Conduct.
  • 10% Crisis Response and On-Call Duty: Serve as Level 2 on-call on a rotational basis with the Manager, responding to escalated incidents. Ensure CSDs are properly trained and supported in crisis response and incident management. Ensure all incidents are documented accurately and referred to Title IX, Clery reporting, or other appropriate offices.
  • 5% Student Services Programming and Engagement Support: Support the Manager's student engagement strategy by ensuring CSDs plan and implement community-building programs effectively. Assist with event logistics, including space coordination, materials, and outreach.
  • 5% Title IX and Clery Compliance Support: Ensure all student conduct and crisis incidents are documented and forwarded to the Manager for compliance review. Support Title IX and Clery Act training for Student Services staff, ensuring CSDs understand their responsibilities as mandatory reporters.

Required Qualifications

  • Minimum two years Professional/graduate Student Affairs experience, with at least two years in a professional/graduate live-in Residence Life position
  • Intermediate knowledge and understanding of essential residential life operations and management, including community building, conduct processes, and crises management
  • Ability to interpret university policies and procedures and adjudicate policy violations
  • Basic knowledge and use of advising and counseling techniques (such as active listening, paraphrasing, reflecting, etc.), facilitation, interpersonal skills, and problem-solving skills
  • Knowledge and understanding of the needs of a diverse student population
  • Ability to manage and direct the work of peers, colleagues, and direct reports
  • Verbal communication, written communication, organization, and management of administrative tasks using various computer application programs

Preferred Qualifications

  • Four years of professional/graduate Student Affairs experience, with at least two years in a professional/graduate live-in Residence Life position
  • Experience responding to, reporting, documenting, and adjudicating conduct and personal safety issues in a collegiate residential setting
  • Experience managing staff, an office, front desk, and/or student services resource space
  • Understanding of student and residential services offered by the University of California on campuses
  • Familiarity with Washington, DC and its local social and professional culture

Education

  • Bachelor's degree in related area and / or equivalent experience / training
  • Master's degree preferred.
