Position Summary: The ESMS Contract Office Manager ensures operational excellence by overseeing contract deliverables, documentation control, travel coordination, and security compliance. This role serves as the central point of contact for administrative operations, maintaining high standards of document quality while coordinating essential personnel requirements across the contract. Position Type: Hybrid - 2 days remote, 3 days at the San Antonio office Essential Functions:
- Oversee all contract deliverables, ensuring professional appearance, quality, and timely submission while maintaining document control systems and archives.
- Manage end-to-end travel planning for contract personnel, including coordination, documentation tracking, and expense compilation for invoice processing.
- Assist with keeping the Common Access Card (CAC) applications list up to date.
- Support contract compliance through documentation management, deliverable tracking, and maintenance of organized contract files and records.
- Implement and manage efficient administrative procedures to support overall contract operations and enhance productivity.
- Serve as the central liaison for all administrative operations, connecting various functional areas to ensure cohesive contract execution.
- Create reports related to contract operations as needed.
Duties & Responsibilities:
- Review, edit, and format all contract deliverables to ensure professional quality, grammatical accuracy, and compliance with contract requirements.
- Coordinate travel plans, manage schedules, and track related contract expenses for contract personnel to ensure smooth execution of all logistical aspects.
- Assist with security compliance functions, including the tracking and documentation of security clearances and CAC applications.
- Monitor submission requirements and deadlines for contract deliverables, ensuring all documentation aligns with prescribed timelines.
- Develop and maintain comprehensive filing systems and administrative procedures to support contract activities and enhance team efficiency
- Submit and track Information Technology (IT) service tickets for all government-issued equipment and maintain accurate records of assigned devices, including issuance, return, and lifecycle status.
- Manage the contract management filing system and government SharePoint site, ensuring accurate organization, version control, and compliance with established record-management and folder-structure standards.
- Coordinating office procurement activities, including ordering, receiving, and inventorying supplies and equipment in accordance with established government and company purchasing procedures.
- Maintaining facility security and key-holder management; coordinate with the building manager to authorize access for new personnel, ensure doors remain secured, and request key issuance or replacement as required.

Requirements
Required Competencies & Abilities
- Strong attention to detail with advanced proficiency in Microsoft Office Suite and document control systems.
- Superior written and verbal communication abilities with experience in government contracting procedures.
- Adept at multitasking and prioritizing tasks in a fast-paced environment.
- Proficiency in office management software and tools (e.g., Microsoft Office Suite, scheduling tools).
Qualifications & Requirements
- Bachelor's Degree in Business Admin or High School diploma with 5 years of related experience.
- Familiarity with corporate and government contracting
Salary Description
$50,000.00 - $70,000.00
