Pay Grade Range: $61,670 - $73,225 (This is representative of the positions entire pay grade range. Starting pay is based on an individual's skills and experience)

Status: This is a full-time, salaried position

Hours: Monday - Friday: 8:00am - 5:00pm, occasional flexibility required for guest check-ins or special events

JOB SUMMARY: JOB SUMMARY: The Administrative & Hospitality Coordinator provides essential administrative support to the manufacturing facility while overseeing the scheduling and upkeep of company guest houses used for visiting customers, vendors, and employees. This role ensures smooth day-to-day office operations, coordinates facility and meeting schedules, and manages hospitality logistics. The position also supervises two part-time housekeepers to maintain high standards of cleanliness and presentation across the guest house s.

WHAT YOU'LL BE DOING:

  • Provide general administrative and clerical support to facility leadership and staff.
  • Coordinate meetings, prepare materials, and maintain office records and reports.
  • Manage calendars, travel arrangements, and visitor logistics.
  • Support operations management in ETNs, open enrollment, and other document processing task.
  • Act as the Well-Being Site Coordinator to promote the organization's wellness initiatives.
  • Help process various forms for employees with HR.
  • Help schedule, document, and coordinate new hires for production needs.
  • Be familiar with manager directed policies and help facilitate with employees.
  • Assist the manager with generation of metrics and data for various corporate presentations.
  • Maintain production, meeting, and event schedules for the facility.
  • Coordinate guest visits, tours, and use of company guest houses.
  • Communicate schedules and logistics across departments to ensure alignment.
  • Assist with scheduling maintenance and vendor services for the facility and guest houses.
  • Supervise and guide two part-time housekeepers, including task scheduling, quality checks, and supply management.
  • Maintain hospitality standards that reflect the company's brand and customer experience expectations by overseeing all aspects of guest stays in the ranch's four guest houses, ensuring high standards of comfort and care.
  • Coordinate guest itineraries, including arrivals, departures, and hunting schedules.
  • Arrange meals, refreshments, and other on-site amenities to enhance the guest experience.
  • Primary work performed in an office setting at the manufacturing facility, with regular visits to on-site guest houses.


EDUCATION & EXPERIENCE:

  • 3+ years of administrative, coordination, or hospitality experience; manufacturing or industrial setting a plus.
  • Associate's degree or equivalent experience in business administration, hospitality management, or a related field preferred.



SKILLS & KNOWLEDGE:

  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams) and scheduling systems.
  • Professional, customer-service-oriented demeanor.
  • Ability to work independently and handle confidential information.
  • General knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint, etc.).
  • Strong knowledge of accounting and inventory principles.
  • Ability to perform a variety of duties, often changing from one task to another, to avoid interruptions in production.
  • Ability to work independently, with little or no supervision.
  • Excellent problem solving and critical thinking skills, with an emphasis in time management, improving efficiencies and exercising independent judgment to determine work priority and urgency.
  • Work as a self-motivated team member who adheres to all safety protocols and is willing to cross-train as needed.
