Position Highlights

The University of Arizona's School of Global Studies (SGS) within the College of Social and Behavioral Sciences invites you to apply to the role of Administrative Associate (Administrative Support Assistant III). This position provides critical support to the SGS Administrative Manager and the Academic Coordinators. Primary responsibilities include managing the front- and back-office duties of records collection and retention, student engagement, coordinating student recruitment, and graduation events. The position also will be invested with major responsibilities to assist SGS programs with organization and execution of campus events and community outreach efforts. The position reports to the SGS Administrative Manager with secondary reporting lines to Program Directors.

Duties & Responsibilities

Administrative Support:

  • Collaborate and support program coordinators on Study Abroad program logistics.
  • Assist program coordinators and administrative manager with program website content management.
  • Assist program coordinators and administrative manager on listserv management.
  • Complete data entry of scholarship data into Scholarship Universe as directed by program coordinators.
  • Assist with the management of program records, including files, course syllabi, course evaluations, course descriptions, and grade change forms.

Student Services & Academic Support:

  • Support student registration and other academic administrative needs.
  • Assist with data entry and management of student awards and scholarships.
  • Provide administrative support for School of Global Studies matters as assigned by the administrative manager.
  • Support Watermark assessment data entry
  • Assist with the annual graduate student orientation and monthly student programming.

Program Event Management and Community Outreach:

  • Assist with graduate student recruitment activities, including advertising, promotions, and outreach.
  • Coordinate and assist with graduate recruitment, orientation, and graduation events.
  • Provide logistical support for program events, outreach, committee meetings, speaker visits, and retreats.

Knowledge, Skills, and Abilities:

  • Ability to work independently toward goals and objectives as directed by School leadership.
  • Capacity to complete set of scheduled tasks throughout the year.
  • Knowledge of job functions and best practices in an administrative setting.
  • Facility interacting with direct and indirect reports, external contacts, and other groups within SGS.
  • Ability to coordinate efforts with SGS faculty and staff to optimize efficiency.
