Coordinator- Resident Enrollments

Overview

Under the supervision of the Manager of Physician Residents, the Coordinator of Resident Enrollments is responsible for initiating and maintaining ordering, prescribing, and referring provider enrollments required by the CT Department of Health, CT Department of Consumer Protection, and The Centers for Medicaid and Medicare Services for all active YNHH residents and clinical fellows.

Responsibilities

  • 1. Coordinates Epic training for new residents and clinical fellows with Epic trainers and Manager of Physician Residents.
  • 2. Provide instructions to residents for obtaining and maintaining their National Provider Identifier Numbers (NPI#s). Assure that all new NPI#s are entered in YNHH databases.
  • 3. Works with the Director of Physician Residents to identify incoming residents and fellows without U.S. Social Security numbers (U.S. SSN) to provide clear instructions to them for obtaining their NPI#s without a U.S. SSN as soon as possible in order to secure visas.
  • 4. Update instructions for provider applications annually and provide the instructions to new residents and fellows for completing their applications to enroll in: CT Controlled Substance Registration for Practitioner; CT Prescription Monitoring & Reporting System; CT Medical Assistance Program; Ordering and Referring Provider for Medicare through PECOS for non-billing providers.
  • 5. Track status of provider enrollments through to completion and enter the specifics of their enrollments into YNHH databases. Continue to track status of enrollments through expirations to re-enrollments.
  • 6. Troubleshoot problems that may arise around a provider?s enrollments throughout their time at YNHH by working with the CT Department of Health, CT Department of Consumer Protection, Centers for Medicare and Medicaid Services as well as with the YNHH Help Desk.
  • 7. Review verification requests for former YNHH residents and fellows and forward the verifications to the proper program for completion. If the record is old and the program does not have the residency file available, provide a letter verifying name, program, dates attended, satisfactory completion. Provide verification letters for residency and fellowship completion for former Hospital of Saint Raphael residents based on records retained by YNHH House Staff Office.
  • 8. Notary Public State of Connecticut through June 30, 2029.

Qualifications

EDUCATION

High school graduate, Associate Degree in Accounting desirable.

EXPERIENCE

Four (4) or more years working in an Internal Audit department or professional office. Extensive knowledge of Medicare reimbursement and residency training programs.

SPECIAL SKILLS

Excellent skills in statistical typing, communication, and organization required. Must be able to identify, locate and assemble data from diverse sources. Must have a working knowledge of residency training programs, Medicare requirements, INS requirements, and Lawson. Two (2) to three (3) years computer experience in Excel, Word and Access is necessary.
