Shift: 8:00am-5.00pm-M-F First Shift

Pay Rate: $30.00 /hr W2

Job Description:

  • The Special Assistant will play a key role in providing highly organized administrative support to the Executive Director. This part-time position (Monday through Thursday, 8:00 a.m. to 11:00 a.m.) requires exceptional organizational and time management skills to effectively coordinate daily priorities in a fast paced, confidential environment. The ideal candidate will demonstrate strong attention to detail, the ability to manage multiple tasks efficiently, and a proactive approach to anticipating needs. Familiarity with calendar management, professional communication, and the ability to build collaborative relationships with both internal staff and external partners is essential.


Roles & Responsibilities:

  • Review Executive Director's emails, at least twice a day. Mark emails, at least once a day, when signatures are required or follow-up is needed.
  • Review calendar with Executive Director on a daily basis, at a minimum.
  • Ensure that the Executive Director has the necessary background material for each meeting. Attend meetings with Executive Director as needed.
  • Take calls and schedule requests for the Executive Director.
  • Complete occasional correspondence on behalf of Executive Director.
  • Maintain Executive Director's contacts, making sure they are current and complete.
  • Identify meeting places for Executive Director's meetings outside of the office.
  • Prepare and organize logistical travel information and itineraries for business trips.
  • On a backup basis, handle hotel and travel arrangements for the Executive Director.


Required Qualifications:

  • Learn existing organizational systems and recommend improvements.

    Complete occasional special requests by Executive Director.


Required Skills:

  • A college degree is preferred with the ability to demonstrate organizational skills.
  • Affordable housing, community development, and/or state government experience a plus.
  • Excellent administrative, communication skills and proficiency in Microsoft Word, Excel, and PowerPoint required.
  • A high degree of initiative, follow-up and execution with the ability to work independently and also closely with the Executive Director is expected. Autonomy and resourcefulness are required.
  • Confidentiality and discretion are a must. Understanding of professionalism and discretion required in an executive office.


Physical Requirements:


  • Alternating between sitting, standing, and walking. Ascending and descending stairs. Crouching and stooping. Pushing and pulling. Reaching overhead or below.
  • Repetitive task movements (filing, keyboarding, copying). Lifting, carrying, and moving objects of up to 10 -15 pounds.
