Definition:

The primary purpose for the Rental Program Assistant Manager to assist the Rental Program Manager in acting as a liaison between the resort and the property owners. The Rental Program Assistant Manager administers the rental of privately owned condominiums, homes, and townhomes.

General Duties:

Because of the fluctuating demands of the Resort's operation, it may be necessary that each Associate perform a multitude of different functions; therefore, as an essential part of your position, you will be expected to help others when the occasion arises, just as other Associates are expected to help you. Accordingly, you may be expected to perform other tasks as needed or as directed.



  • Drive through property grounds
  • Respond to all voicemails and emails before the end of business day.
  • Review next day's arrivals for accuracy.
  • Walk through the next day's Owner and VIP arrivals.
  • Perform VIP and Daily Inspections
  • Audit all previous reservations 1 week prior.
  • Audit all upcoming reservations 2 weeks ahead.
  • Distribute weekly update to Manager.
  • Review Property Rental sites of improper references to our facility
  • Notify manager of those advertising our facility without permission
  • Review website and marketing materials to ensure accuracy.
  • Walk through of Storage Facilities
  • Inventory of PAR items in storage facilities
  • Submit Purchase Orders to Manager for PAR items or new unit set up items.
  • Maintain Owner files for proper documentation and update information in SMS.
  • Assist Departments with sales training/staff tours.
  • Schedule & Supervise Vendors
  • Complete new unit set up and walk through.
  • Complete unit removal process
  • Assist Rental Program Manager with special projects.
  • Understand and be able to assist owner's and VIP guests with reservations.
  • Schedule & Supervise Deep Cleans and Monthly/Annual Preventative Maintenance
  • Perform Bi-Yearly Inspections
  • Schedule repairs and maintenance as necessary/Daily
  • Represent Horseshoe Bay Resort in a professional manner to clients and potential clients and potential clients at every opportunity.
  • Maintain proper lines of communication with all departments to ensure that all details are communicated.
  • Develop working knowledge of all departments, the Resort, its amenities, and the competition.
  • Essential and professional use of telephone service with use of proper telephone etiquette for the service industry.
  • Complete various correspondences when warranted.
  • Continuous training with the property management system and amenities reservations systems.

  • This position requires flexibility, creativity, social and interpersonal skills, decision making ability, initiative, and sense of urgency. These skills are required to address the daily items/issues which occur daily within the resort.
  • The ideal candidate will demonstrate a willingness to commit to actions necessary to move the resort/membership department forward daily.
  • Customer service and/or resort experience is a strong plus. A degree in a hospitality related industry is also a plus but not required.
  • Strong computer skills are a must. The ideal candidate must work well within a resort integrated database and must have a high degree of accuracy in performing these tasks.
  • This position also requires organizational and follow-up skills.
  • Customer service: resort and property management experience preferred.
  • High school diploma or equivalent, required.
  • Excellent interpersonal and communication skills
  • Planning, multi-tasking and strong computer skills
  • Use of Microsoft Office Suite of programs
  • Knowledge of Daylight and SMS software programs, valued.
  • College degree valued but not required.
  • Maintain a clean, safe, and environmentally responsible work environment.
  • Must have neat and pleasant overall appearance.
  • Must be able to interact with co-workers and have a sense of TEAM.


Education and Experience

High school diploma required and a minimum of two years' experience in rental housing.


Language Skills

Ability to read and interpret general business periodicals, technical procedures, or governmental regulations. Ability to write reports, business correspondence and procedures. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.


Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
