POSITION SUMMARY:

The Senior Employee & Labor Relations Coordinator is responsible for providing support in the area of employee and labor relations. This position will perform a variety of activities that support the Employee & Labor Relations department's efforts for facilitating and managing the fair resolution of employment and union concerns. Provides general office support including preparation of correspondence, spreadsheets, charts, memorandums, managing calendars, scheduling meetings, note-taking in meetings, responding to inquiries, triaging and routing calls, maintaining and updating employee database, processing personnel action forms and other personnel related items. Assists with planning, coordination, and implementation of all departmental program-related activities and events.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Develops and maintains a robust filing system, with a focus on paperless transaction that encompasses all of the office activities: grievances, disciplinary action, MCAD, EEOC, NLRB activities.
  • Manages communication efforts for disciplinary actions and union grievances and serves as point of contact with Union officials in the routing of documents and agreements.
  • Assists in the investigation of policy violations and/or labor relations issues.
  • Gathers pertinent data for appropriate response to administrative agencies and liaise with appropriate departmental employees in the compilation of data and records.
  • Oversee payment of invoices for outside legal services and liaises with in-house insurance carrier in the appropriate payment
  • Manages departmental tracking systems for EEO complaints, disciplinary actions, and union grievances. Analyzes the data and develops reports to communicate the information on a regular basis.
  • Receives, reviews, and catalogs all grievances, EEO complaints, and disciplinary actions submitted to Labor Relations.
  • Assists with Step 2 and 3 grievances including, corresponding with union officials, scheduling hearings and communicating findings and resolutions.
  • Coordinates accurate and timely responses to all union and legal requests for information and employee requests for personnel files.
  • Responds to inquires related to the department and union contract implementation, including directing email/questions/inquiry to the appropriate person for response and ensuring follow-up.
  • Conducts research and information gathering for grievances, and ensuring compliance with collective bargaining agreements and hospital policies. Provide analysis, reference documents, and statistical data concerning labor legislation, prevailing union and management practices, established business processes and operational benchmarking.
  • Manages highly confidential information; uses discretion when handling confidential matters. Ensures the confidential information, on which he/she worked during the day, is secured overnight.
  • Provides administrative support to the assigned department(s), including, but not limited to: scheduling appointments, scheduling meetings, taking meeting notes, following up on meeting-generated tasks, preparing documents, spreadsheets and presentation slides.
  • Prepares initial drafts of settlement agreements, letters and memoranda of agreement. Processes severance and settlement agreement paperwork and checks.
  • Oversees/coordinates specific projects; provides leadership in project management; gathers deliverables from required constituents; tracks, analyzes, and makes recommendations or raises concerns on status reports, issue resolution, and program actual against project charter, budget, and/or plan.
  • Serves as the department administrative expert with regards to compliance policies & departmental procedures.

  • Adheres to department and hospital standards, including the following:

    • Adapts to changes in the departmental needs including but not limited to: offering assistance to other team members, adjusting assignments, etc.
    • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided.
    • Utilizes hospital's behavioral standards as the basis for decision making and to support the department and the hospital's mission and goals.
    • Follows established hospital infection control and safety procedures.

JOB REQUIREMENTS

EDUCATION:


  • HS/GED plus 7 + years relevant experience or
  • Associates plus 5+ years relevant experience or
  • Bachelors with at least 3 years relevant experience.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • Paralegal certificate is preferred

KNOWLEDGE AND SKILLS:


  • Requires strong computer proficiency with Microsoft Office applications-Word, Access, Excel, PowerPoint; E-mail. Web/Internet. Ability and willingness to become proficient with Co-Path and other applications.
  • Excellent verbal and written skills.
  • Excellent interpersonal skills.
  • Self-motivated; excellent problem-solving skills; takes initiative to anticipates problems; seeks solutions proactively.
  • Ability to manage multiple projects simultaneously.
  • Ability to work well with all levels of internal management and staff, as well as outside clients.
