The College of Science Dean's Office is seeking applicants for the position of Administrative Assistant to provide high-level administrative support to the Dean's Office. The selected candidate will handle multiple projects with a high degree of professionalism, organization, and coordination. Time management, attention to detail, and the ability to multitask are essential skills for this position.
This position is not eligible for a remote or hybrid work schedule. This position will be based on the main campus in the Gould Simpson Building. Duties & Responsibilities |
Duties and Responsibilities:
- Maintain complex calendars for multiple members of the College of Science senior leadership team.
- Provide high-level administrative support, including but not limited to drafting correspondence, making travel arrangements, and organizing documents for reimbursements.
- In support of Associate Dean, manage grade appeals and academic integrity violations to include scheduling meetings, organizing documentation in preparation for meetings, making communications, and keeping organized files for retention purposes.
- Provide customer service to callers and visitors to the Dean's Office to answer questions, provide directions and College information, and refer to appropriate parties across College and campus.
- Serve as backup to Executive Associate for other calendars for College senior leadership, including the Dean, for office coverage, office management, and other duties in their absence.
- Assist with oversight of student worker to help manage workload and work schedule.
- Assist with some logistics for College of Science events as needed.
- Schedule the Dean's Office conference and meeting rooms, including assisting meeting coordinators with the conference room technology.
- Responsible for general office administration, including opening and closing the office, answering phones, mail distribution, ordering office supplies, assisting visitors, and other duties as assigned.
- Maintain various contact lists, office directories, and email listservs.
- Additional duties may be assigned.

Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications |
- Previous experience managing the calendars of upper administrators, preferably within an academic environment.
- Basic understanding of the University of Arizona's administrative structure.

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
