JOB SUMMARY:

The Operation Support Specialist is responsible for supporting the Director of Operational Support Services and providing valuable administrative and organizational support for air operations.

ESSENTIAL FUNCTIONS/DUTIES:

  • Provide administrative support for the Director of Operational Support Services.
  • Assist with logistical support of new and existing bases.
  • Cross train and perform as requested Office Manager position duties.
  • Provide administrative support for operations and reporting as requested.
  • Oversee Air Evac Lifeteam Policies at the direction of the Director of Operational Support Services and the COO.
  • As requested by the Director of Operational Support Services, coordinate and attend trainings and/or meetings to include scheduling logistics, planning logistics, agenda and meeting minutes.
  • Assist with ground transportation contracts and invoice processing as requested.
  • Assist with the AEL Medical Strike Team scheduling documentation and crew weights reporting.
  • Order office supplies as requested.
  • Work with the scheduling system to reset passwords and input new staff.
  • Other duties as assigned.

QUALIFICATIONS:

  • Experience: One year experience in an administrative support role (i.e., medical field, event planning, document control and processing, maintaining confidentiality in a support role, etc.).

EDUCATION:

  • High School diploma or GED required.
  • Any combination of education, training, or experience that provides the required knowledge, skills, and abilities to perform required job duties.

SKILLS:

  • Medical terminology preferred.
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
  • Excellent customer service skills.
  • Effective oral, written and interpersonal communication skills required. Ability to communicate professionally and effectively in person, on the phone, electronically, or through other means to individuals and groups.
  • Strong organizational and problem-solving skills with the ability to manage priorities and workflow and coordinate multiple tasks simultaneously.
  • Demonstrated ability to plan and organize projects with general direction and minimal guidance.
  • Ability to work independently or collaboratively with multiple departments and committees in a busy complex environment using tact, diplomacy ad discipline.
  • Demonstrate acute attention to detail.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Ability to accurately complete detailed forms and reports.
