We are looking for an Assistant to provide daily executive and administrative support for two Senior Vice Presidents, Talent Strategy and Unscripted Fox Entertainment. You must have superb organizational skills, an eye for detail, excellent written and verbal communication skills, an understanding of the industry, and a desire to work in talent across all genres and as well as unscripted television. It is important for you to be able to anticipate the needs of the executives, confidently multitask, and prioritize under pressure in a fast-paced environment. Must be a self-starter. You should feel comfortable interacting with various executives and should feel confident acting as a liaison between executives, agents, talent, and buyers. A SNAPSHOT OF RESPONSIBILITIES

  • Greet guests, answer and roll calls, schedule a heavy calendar, coordinate and maintain appointments/meetings, maintain files, book travel arrangements/reservations, and coordinate all other special projects
  • Act as liaison with other internal departments and external contacts to execute assignments and represent the SVP and team in a professional and efficient manner
  • Keep up to speed on competitive development across the unscripted landscape
  • Create and maintain a comprehensive database of pitches, current and past development.
  • Keep current on Company projects, events, and issues and provide updates to your supervisor
  • Track and manage actor submissions for both scripted and unscripted projects
  • Assist in identifying talent for pitches and series
  • Handle casting avail checks
  • Coordinate with network, producers, directors, managers, talent agencies
  • Prepare and distribute materials to talent and production teams as needed
  • Provide personal assistance on various projects and activities
  • Coordinate travel arrangements (domestic and international) and other administrative duties (i.e., processing travel and expense reports, filing, etc.)
  • Serve as backup to other administrative assistants when necessary
  • Assist with departmental projects and events as needed
  • Assist on set when needed with productions

WHAT YOU WILL NEED

  • 2+ years of experience as an Executive Assistant
  • Previous entertainment agency or production experience
  • Team player who operates in a fast-paced setting
  • Understanding of how to prioritize and respond accordingly to changing business needs
  • Excellent communication and follow-up skills
  • Proficiency in Microsoft Office Suite, Outlook, Advanced Excel, PowerPoint, and Keynote
  • Able to organize and establish administrative procedures independently, draft correspondence and reports, and work under pressure
  • Ability to handle confidential information and interact with high-level executives
  • Ability to multitask
  • Office coverage requires extended work hours - must be available to work overtime

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $21.00-26.00 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
