Position Summary
The Division of Physical Medicine and Rehabilitation (PM&R), within the Department of Orthopaedics and Rehabilitation, is seeking a Medical Education Program Coordinator to provide independent coordination of all day-to-day aspects of program fellowships, residency, and medical student rotations. This detail-oriented person will consistently demonstrate initiative to interface with Program Directors and entities from UNM's GME office and Lovelace UNM Rehabilitation Hospital (LUNMRH) in order to ensure compliance with university, state, and federal policies and regulations. This position requires:
- Administrative coordination of PM&R's complex medical education program;
- Implementation of established program procedures;
- Day-to-day interaction with medical residents,
medical students and fellows.
Duties include, but are not limited to:
- Coordinates the administrative aspects of the PM&R residency and fellowship programs and med student rotations, as assigned. Completes purchases and reimbursements (as permitted by UNM policy and in alignment with program budgets), including travel arrangements for educational conferences, books, supplies, membership dues, registrations, etc.
- Coordinates and maintains didactic schedules and
speaker lists for core didactics, QI curriculum, research curriculum, grand rounds, and journal club. - Schedules, sends reminders for, and provides
real-time onsite coordination of program conferences (occurring on weekly, bi-weekly, monthly, bi-monthly, and annual cadences). - Monitors resident and fellow evaluations per
appropriate guidelines, collates and ensures completion of electronic files, prepares files for committee reviews, and monitors leave usage in compliance with board requirements. - Manages monthly resident work hours in New
Innovations by reviewing schedule assignments, reporting assignments to GME Fiscal, monitoring compliance, and ensuring any violations are addressed. - Coordinates and schedules CCC, RSC and PEC
meetings, including preparing and sending reminder communications, and ensuring meetings occur on a recurring biannual cycle. - Serves as proctor for annual exams as part of
programmatic efforts to prepare residents for board certification post-residency. - Schedules, sends reminders for, and provides
real-time coordination of virtual interviews for potential residents and fellows. - Screens applications and reviews for compliance,
coordinates interviews for prospective candidates, prepares rank list with direct submission to the National Resident Matching Program (NRMP). - Maintains comprehensive records and coordinate
logistics for major program events, including orientation, QI symposium, resident research day, retreats, graduation, CME activities, and residency interviews. - May serve as Campus Security Authority as
outlined by the Clery Act. - Performs miscellaneous job-related duties as
assigned.

Conditions of Employment
Minimum Qualifications
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
- At least 5 years experience directly related to:
- Graduate medical education (GME) program
coordination platforms, including ERAS, NRMP, ACGME, and New Innovations; - Managing complex schedules, events, and
communications in a fast-paced environment; AND - Proactively communicating with stakeholders and
following up on outstanding time-sensitive matters with professionalism and persistence, to ensure deadlines are met even in the absence of immediate responses.
- Knowledge and understanding of GME operating
principles and procedures. - Knowledge of accreditation, certification, and success requirements and standards.
- Experience with university procurement systems,
travel booking, reimbursements, and managing budgets. - Skill in organizing resources and establishing
priorities. - Strong interpersonal and communication skills
and the ability to work effectively with a wide range of constituencies in a diverse community. - Ability to analyze and solve problems.
- Ability to draft professional emails, reports,
schedules, and program documents. - Ability to manage multiple tasks and deadlines
across recurring and ad-hoc events. - Ability to make administrative and procedural
decisions and judgements on sensitive, confidential issues.
