Position Summary

This position exists to support the daily operations of the Center for Individualized Learning (CIL) at MSU Denver and to coach potential and current IDP students. The Outreach and Program Specialist plays a crucial role in managing advising appointment schedules, coordinating meetings, daily communications, and managing outreach for both the Individualized Degree Program (IDP) and Meritus Scholars. The role involves interacting with faculty, staff, and students, providing exceptional customer service. The ideal candidate will be proficient in office software and have a keen attention to detail. The Administration and Outreach Assistant will contribute to a positive and efficient work environment. The successful candidate will be a proactive problem solver with a strong work ethic. Qualified candidates are expected to work with and for others. They build and maintain relationships as they work closely, accurately, and independently, within broadly defined guidelines. They should be an effective communicator, someone who is aware of and responsive to the needs and concerns of IDP students, Meritus Scholars participants, CIL staff and student staff.

Responsibilities

Outreach and Coaching- 50%

  • Contact recently admitted students who are potential IDP students
  • Coach stopped-out and recently readmitted IDP students on how to navigate MSU systems and resources
  • Coach recently readmitted students with a high number of credits to identify best paths to completion
  • Attend on and off campus local events to promote IDP
  • Work with IDP staff to track student progress and coach students experiencing challenges
  • Develop and implement an IDP alumni outreach strategy in collaboration with CIL team
  • Other outreach projects as needed

Communications - 10%

  • Greet visitors to CIL and direct them to appropriate advisor and/or other resources
  • Manage internal and external communications, ensuring timely, consistent, professional, and effective messaging across all channels
  • Timely answer the CIL main phone and return phone calls
  • Communicate with Meritus Scholars participants
  • Schedule IDP advisor meetings with students when necessary
  • Manage the Center's online presence and social media channels, ensuring content is engaging, informative, and aligned with the brand
  • Provide graphic design support for marketing materials including social media
  • Support communication strategies and campaigns

Administrative - 40%

  • Data entry into Banner to support IDP program and student success
  • Data entry for Meritus Scholars
  • Manage day-to-day operations, scheduling, and processes for the Director and offer executive-level assistance to the Director
  • Take comprehensive notes during meetings and distribute them to relevant stakeholders
  • Assist with website editing and content management
  • Compile and analyze data to create reports
  • Create visually appealing PowerPoint presentations for meetings and presentations
  • Act as an initial point of contact when the supervisor is out on vacation or unavailable
  • Use Workday for budget management and to oversee budget allocations, expenses, and financial reports
  • Assist in scheduling meetings, including booking venues, sending invitations, managing vendor relationships, and coordinating logistics
  • Event organization including set-up and clean-up
  • Prepare and assemble briefs, reports, and documents as requested
  • Manage and execute of special projects, as assigned by the Director
  • Declaring major and minors
  • Processing IDP Proposals
  • Records management
  • Supervise 1-2 student workers assigned to specific projects such as (but not limited to) social media

Required Qualifications

  • Bachelor's degree in any field from an accredited college or university
  • Experience with Workday and/or Banner and/or Navigate360 and/or similar systems
  • Proficiency with Microsoft Office
  • Experience in a professional administrative role
  • Strong interpersonal communication skills
  • Ability to work independently with self-direction and a team-oriented mindset

Preferred Qualifications

  • Background in communications and social media
  • Data Entry and student (or related) tracking experience
  • Website coordination experience
  • Experience working with undergraduate students, particularly at MSU Denver
  • Familiarity with non-traditional and returning students
  • Familiarity with interdisciplinary programs
  • Budgeting experience

Salary for Announcement

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The salary range that the University reasonably expects to pay for this position is $41,200 - $51,500.The full salary range is $41,200- $61,800.

This position is paid monthly and is eligible for MSU Denver benefits.
